  Job Description

  Are you an experienced Administrative Assistant looking for a new challenge in a fun and exciting environment? This opportunity may be for you!

  Bosch Security Systems (BU-Access Control and Intrusion) Headquartered in Fairport, NY, is seeking a highly motivated and organized individual to join our team as an Administrative Assistant! As our Administrative Assistant, you will be responsible for providing administrative support to 4 separate executives spanning the functional areas of Sales, Marketing, Engineering and Product Management. You will be key to managing calendars, scheduling appointments, coordinating meetings, office administration tasks such as purchasing, PO’s, ordering supplies, and other duties as outlined.

  In addition to administrative duties, you will also participate in site events and committees. You will assist in Facilities/Security and HR related projects, as well as on-boarding new associates when requested.

  Responsible for planning and performing executive support and administrative services of a confidential nature. Position supports several on-site and remote executives spanning many functional areas.

  Act as a project manager for special initiatives as assigned by executives.

  Read, research, route senior manager’s correspondence, meeting requests and other time commitments.

  Maintains a balance on Corporate PCard for eligible charges and manages PO’s for the site as needed.

  Coordinate key business meetings and events on behalf of building leadership.

  Responsible for executive travel coordination and submitting expense reports.

  Adhere to corporate travel policies and procedures, assist in training new managers on travel policy and procedures.

  Work on-site with some flexibility for a hybrid role.

  Participate in other continuous improvement related projects as needed.

  Qualifications

  High School Diploma with experience supporting executive level leaders in a fast paced, ever changing environment. Post secondary education preferred.

  Minimum of 5 years of experience in administration roles with demonstrated progression to senior level roles.

  Strong organization, planning and prioritization skills.

  Demonstrated ability to manage short term projects; typically within a 1-6 month delivery time-frame.

  Excellent communication skills (verbal and written) with strong interpersonal skills and ability to work cross-functionally with different teams.

  Must be able to adapt and accommodate quick changes in work priorities and schedules.

  Comfortable working with sensitive/confidential information.

  Advanced MS Teams & Office Suite skills specifically MS Excel, PowerPoint, Teams and Outlook.

  Demonstrated ability supporting multiple managers and driving the organization of tasks and priorities while working effectively and efficiently.

  Strong communication skills and an ability to communicate across all levels of the organization.

  Ability to work independently, prioritize multiple incoming requests, and manage each leader's priorities.

  Overtime required, sometimes on short notice.
