Necessary Skills
· 7+ years of Executive Administrative experience supporting C-Suite individuals, preferably supporting two individuals.
· Advanced knowledge of Google Workspace tools (e.g., Gmail, Contacts, Calendar) and Microsoft office Suite.
· Highly proficient in calendar management, executive communication, and expenses.
A day in the role…
· Manage the schedule for two Chief Officers, prioritizing inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
· Serve as the primary point of contact on all matters pertaining to the Executives, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgment to reflect Leadership's style.
· Coordinate all aspects of the Executive's travel.
· Be available to resolve travel issues as they occur at times without notice.
· Keep both Chief Officers well informed of upcoming commitments and responsibilities.
· Anticipate needs and assist in preparing the Executives for speaking engagements, events, conferences, etc., in a timely manner.
· Schedule multiple meetings with internal and external colleagues, at the request of members of the Executive Team. Prepare technology needs, room setup, catering needs and clean up.
· Prepare expense reports and reconcile all expenses to corporate credit card statements to ensure accuracy.
· Maintain discretion and confidentiality in all aspects of the Executive office.
· Manage Executive Google contacts.
· Conduct other activities to support both Executives.
· Work with vendors and Accounts Payable department to process invoices in a timely manner.
· Ensure that timecards are completed on time.
· Assist with coordination of events.
· Provide excellent customer service in a welcoming, supportive, and respectful work environment.
· Complete other duties, tasks, and special projects as required for the overall benefit of the organization.
