Brief Summary of Work for this Position
The Executive Assistant's (EA) primary responsibility is to provide administrative and operational support to the Associate Vice Chancellor for Human Resources (
AVCHR) and the HR leadership team.
In addition to overseeing the administrative functions related to ongoing projects, the EA ensures that
AVCHR assignments/requests/commitments are on track and completed prior to deadlines. The EA must analyze, prioritize, and keep track of multiple pieces of complex and often confidential information to provide deft facilitation and processing of information and correspondence.
In close collaboration with the
AVCHR, the EA manages complex schedules, including requests for appointments, meetings, events, and travel. This individual must be skilled in anticipating when adjustments in schedules need to be made. Because there often are more requests than available time slots, this task requires sensitivity, judgment, and the ability to prioritize.
The Executive Assistant also serves as the HR budget manager; coordinates agendas, technical support, and logistics for recurring HR meetings; and provides oversight of the office, front desk, supervising student workers and ensuring adequate coverage.
Minimum Education and Experience Requirements
Graduation from high school and three years of progressively responsible administrative/office management experience; or graduation of a two-year secretarial science or business administration program and one year of experience as described above; orGraduation from a four-year college or university, preferably with major emphasis on Business administration or a related field; or an equivalent combination of training and experienceDegrees must be received from appropriately accredited institutionsPreferred education, professional skills and experience
Progressively responsible experience as an administrative assistant to a senior administrator preferred
Experience with emerging technologies and social media preferred. Experience with Banner Software is a plus
Demonstrate a professional demeanor while interacting and communicating with contacts at various levels within and outside of the university
Ability to manage the function during times of crisis, properly assessing a situation and facilitating resolution
Ability to exercise judgment and discretion with a respect for confidentiality in performing work
Exceptional written and verbal communication skills with the ability to communicate various issues given the number of different constituent groups
Effective decision-making and delegation skills to manage the various calls and contacts, requiring an understanding of operational issues
