  Executive Assistant - Richmond Market Administration

  Under minimal supervision, provides confidential secretarial and administrative support to the Chief Operating Officer, Chief Clinical Officer and the Chief Nursing Officer. Duties require knowledge of supervisors’ areas of responsibility, event planning and execution. Must be able to handle a fast-paced environment. Communicates effectively with patients and their families, physicians, corporate and community representatives. Represent the leadership team and office with professionalism and a focus on service excellence.

  Employment Qualifications:

  Work requires skills related to proofing and editing reports, correspondence, and the like for accuracy, sentence structure and readability as well as drafting correspondence and reports. Must have exceptional organizational skills.

  Five or more years of progressively more responsible secretarial/administration work experience, at an executive level.

  Previous work experience required in a healthcare administrative/secretarial capacity that required communicating with a diverse group of internal and external callers and visitors; arranging meetings and conferences; assembling highly confidential and sensitive information; and developing routine responses to a variety of correspondences.

  Must be able to handle a fast-paced environment in a confident, professional manner.

  Must be a self-motivator, possessing a high level of judgment skills and initiative, along with ability to prioritize and coordinate several tasks simultaneously, while retaining a confident, knowledgeable and helpful demeanor.

  Ability to listen compassionately to concerns of visitors and employees without appearing judgmental.

  Essential Functions:

  Administrative:

  Manages calendar/appointments.

  Screens telephone calls & visitors.

  Completes projects/tasks as assigned.

  Provides agenda and staff support, planning and execution of large meetings and events at the direction of executive team.

  Projects:

  Participates in and supports projects as necessary.

  Audits (both internal and external)

  Legal Matters

  Resource:

  Functions as a resource for other assistants throughout the Richmond system.Backup Support:

  Provides telephone coverage for BSR administration on a daily/weekly basis.

  Provides physical office support for BSR administration.

  Tracking:

  InvoicesContracts/Agreements:

  Maintains files.

  Monitors physician time sheets for compliance purposes.

  Accounts Payable:

  On behalf of CEO/COO, reviews, codes, and approves invoices in ImageNow.

  Responsible for monthly reconciliation of CEO/COO’s P-card, and others as assigned.

  Surveys/Renewals:

  Licensure

  AHA

  TJC Participation

  Conference Room:

  Reserves room for callers.

  Takes messages for meeting participants.

  Makes copies for meeting participants.
