About Executive Assistant

  Primary Role:

  The Executive Assistant represents the Organization in a professional, polished manner and is responsible for the general office functions. Working directly with the Executive Leadership Team, Operations Team and Branch Office Network we are seeking a dynamic Executive Assistant to join our Bridgecreek Investment Management Team, a division of Hub International.

  Duties and Responsibilities:

  The duties contained in this job description reflect general details as necessary to describe the principal functions of this job, the level of knowledge and skill typically required and the scope of responsibility. It should not be considered an all-inclusive listing of work requirements. Individuals may perform other duties as assigned, including work in other functional areas to cover absences, equalize peak work periods or otherwise to balance the workload.

  Manage a wide variety of projects, documentation, reports, and communications under the general direction of the Executive.

  Handle coordinating repairs and maintenance of all non-IT equipment and facility issues.

  Coordinate all external/internal events on behalf of the Executive such as holiday party, town halls and other social functions.

  Organize how the reception and administrative work is organized, coordinated, and completed.

  Provide clerical and administrative support to operations and client service departments.

  Provide excellent customer service to all clients and assist with inquiries, questions, and communications.

  Assist with HUB event planning and execution.

  Manage and maintain front desk area, lobby, and help with upkeep in kitchen/lounge area.

  Assist with travel arrangements and expense management.

  Answer multi-line phone system (including transfers).

  Manage and distribute of incoming and outgoing mail.

  Miscellaneous administrative duties/projects as needed.

  Qualification Requirements:

  Experience and Education

  3 – 5 years of prior executive assistant experience

  Bachelor’s degree required

While performing the duties of this Job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; sit and use hands to finger, handle, or feel. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include Close vision and Distance vision. Some travel required by car to meet with clients and other outside events.

  Other Requirements:

  Must hold a valid Driver’s License

  Dependable transportation

  Public Speaking/Language Skills:

  Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively customers and teammates.

  Bilingual in English and Spanish a big plus.

  Math Skills:

  Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.Reasoning Ability:

  Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.Computer Skills:

  To perform this job successfully, an individual should be proficient in Adobe, Microsoft Office including Excel, Word and Power Point; follow guidelines on working in BMS (EPIC) for premium efficiency with your team.About Us

  Required Experience: 2-5 years of relevant experience

  Required Travel: Negligible

  Required Education: Bachelor's degree (4-year degree)
