Finger Lakes Community Health (FLCH) was founded in 1989 with an original mission of serving the region's agricultural workers by linking individuals to area resources and providing essential health services. Job Summary:
This is an onsite position responsible for handling a wide range of administrative support duties for the executive staff overseeing the medical clinical department. The Executive Assistant provides direct support to the Medical Executive team by managing schedules and incoming and outgoing communications, and will report directly to the Chief Officer overseeing Medical.
Expected Schedule: Monday - Friday, 8:00am to 4:30pm
Duties/Responsibilities:
Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
Maintains office calendar for Medical leadership , scheduling meeting s and appointments as needed
Creates, prepares, and distributes meeting agendas
Receives incoming calls, communication s, or memos on behalf of executive staff, reviews contents, determine s importance, and summarizes and/or distributes contents to appropriate staf f .
Assists with the completion of departmental payroll, including verification of hours worked, schedules, and approval of leave time
Maintains electronic filing of documents in accordance with FLCH policies and procedures
Collects, organizes and distributes health center mail , faxes, and generalized documents to ap propriate staff for oversite
A rranges accommodations and transportation for senior leadership travel
Perform other related duties as assigned
Required Skills/Abilities:
Excellent organizational and time management skills
Strong written and verbal communication skills
Proficient in Microsoft Office (Word, Excel, PowerPoint)
Ability to follow established policies and procedures
Ability to work independently
Maintains confidentiality of patients and coworkers
Education and Experience:
High School or Equivalency Diploma
Higher education in business, communications, or related fields preferred.
Prior administrative/clerical experience required
Physical Requirements:
Must be able to hear and communicate with clients and staff via phone and those who are served “in person”
Must be able sit for prolonged periods of sitting at a desk and working on a computer
Must be able to lift up to 50 pounds
Must have vision which is adequate to read paper and electronic documents
Must possess manual dexterity, to perform writing and keyboard tasks
