Job Description

The Events Technical Coordinator is responsible for the technical planning and execution of large-scale corporate events.

The focus of this position is to organize the technical staffing, equipment, and facility requirements needed to produce reliable and effective meetings, conferences, and conventions. The position requires the coordinator to operate and maintain audio visual (A/V) equipment, manage video conferencing solutions, and provide technical support for event participants. Coordinator will also consult and contract with outside resources, partners, and venue hosts to best accommodate and adhere to event requirements.

Responsibilities

Organize technical staffing, including internal resources, external partners, and venue representatives to support corporate events.

Plan, set up, configure, and operate audio and video equipment for organizational meetings, conferences, and conventions.

Utilize industry knowledge and expertise to ensure proper equipment operation and to maximize system performance.

Analyze, diagnose, and resolve hardware and software issues, recommending corrective solutions where appropriate.

Maintain inventory of equipment, including portable systems, backup solutions, and associated accessories (e.g., cables, mixers, adapters, etc.).

Establish preventative maintenance schedules for equipment and recommend replacements.

Conduct research into hardware and software in support of development and/or procurement of audio and video conferencing solutions.

Maintain up-to-date knowledge of supported hardware and software solutions.

Receive and respond to incoming calls, emails, or verbal requests regarding event planning, equipment operation, or technical inquiries.

Contact third-party, vendor-specific support, as needed, to resolve issues and assist and facilitate hardware and software repairs.

Work closely with IT and service providers to assess, troubleshoot, test, and resolve internet or network related issues impacting event performance and/or participant devices.

Perform other duties as assigned.

Qualifications

4-year degree in Information Technology, Digital Media, Communications, or related field. Progressively responsible work experience in the technology or media industry may be substituted on a year-for-year basis for required degree.

5+years of experience setting up, configuring, and operating A/V equipment and video conferencing solutions.Experience must include:

Hardware

Microphones

Speakers

Projectors and Screens

Cameras

Mixing Boards

Cables and Adapters

Software

Microsoft 365

Microsoft Teams

Microsoft Windows OS

Knowledge and experience in computer systems, hardware, and software.

Must demonstrate an ability to establish relationships, build rapport, and work in a team-oriented, collaborative environment.

Comfortable with team dynamics and openly seeks and shares information.

Works effectively in the face of stress, ambiguity, and difficult situations.

Considers and implements novel approaches to tackle new challenges.

Valid drivers license with a clean 3 year record.

Working Conditions and Physical Requirements

Weather: Indoors - environmentally controlled; requires most or all work to be done inside.

Noise level: The noise level in the work environment is usually that of a standard office atmosphere.

Description of environment: Office building with standard office environment.

Physical requirements: Employee is required to occasionally lift and/or move up to 25 lbs. Frequently required to sit, stand, walk, use hands/fingers to handle or feel, climb, stoop, kneel, crouch or crawl, talk/hear, see, taste/smell, and carry weight/lift.

Travel: Yes, 40% or more as needed. Employee must be able to travel to remote areas in the NANA Region and may be required to use alternative modes of transportation, including but not limited to snow machines, boats, small airplanes and ATVs.

The position requires reading, detailed work, problem solving, interactions with other companies, including other NANA companies, reasoning, math, language, public speaking, verbal and written communication, analytical reasoning, management of multiple concurrent tasks, and handling of constant interruptions.
