The person in this position will coordinate conferences, events, contracts and engage in program promotion and marketing to a diverse audience of agricultural producers, educators, lenders, and other agricultural professionals. The position will work closely with program leads, as well as other Extension faculty and staff. This role is accountable to the University of Minnesota Extension Program Leader for Agricultural Business Management in the Extension Department of Agricultural and Natural Resource Systems. This is a hybrid position. The University of Minnesota is currently offering flexible working options. Specifics will be discussed during the interview stage. ABOUT THE PROGRAM The Agricultural Business Management (ABM) team provides farm management education to farmers, lenders, and others concerned with the future of Minnesota agriculture through workshops, written materials, and software tools. For more information, visit: RESPONSIBILITIES AND PERFORMANCE EXPECTATIONS The Events Coordinator will work closely with ABM leadership, Extension Communications and Learning Technologies teams and others to plan and coordinate training sessions, workshops, online courses, and conferences annually, ranging in size from 25 to 200 attendees and held in a variety of capacities such as in-person, online and hybrid formats. This person will be responsible for all phases of event coordination, from scheduling through execution and follow-up. Some travel will be required. Primary responsibilities include: Program and Events Coordination (60%) Coordinate contracts and payment with relevant parties - including facilities, caterers, AV, speakers, and other programmatic personnel, following Extension procedures and systems. Coordinate continuing education accreditation and certification for events/attendees, including filing all necessary applications with the state(s) of delivery and reconciling credit where applicable; distribute receipt or document to attendees after events. Partner with Extension Communications team to help create event promotional content, including digital and print materials. Partner with Extension Communications team to promote training programs and events and to determine the appropriate avenues to best reach target audiences. Coordinate and oversee event budget, communication, and staffing plans. Maintain all event-related media tools and calendars, both public-facing and internal, while following Extension communications and website requirements. Partner with Extension Learning Technologies to manage event registrations, including any necessary invoicing and refunds, while following Extension related policies and processes. Prepare post-event metrics on cost, attendance, etc., for analysis and review by associated team(s). Support and coordinate other department events as needed. Program Administrative Support (35%) Collect and organize evaluation and assessment data from participant evaluations and other feedback to support the continued improvement of quality programming. Work with the program team to document program accomplishments. Develop, update, and print ABM educational and promotional materials, including workbooks, annual reports, informationa books, brochures, training manuals, and content on web pages in consultation with Extension Learning Technologies and Communications teams. Maintain records and assist with preparation of reports on program activities, products, outcomes, and impacts. Other (5%) Engage in other special projects and duties as assigned. Qualifications Required Qualifications (to be documented on application materials): Bachelor's degree or a combination of related education and work experience to equal four years. Experience in conference or event management (in-person and virtual). Experience coordinating and reviewing oral and written communications including emails, newsletters, fliers, or related materials for non-technical language. Demonstrated exceptional customer service skills and experience. Preferred Qualifications: Skilled at effectively balancing multiple tasks and working independently to meet deadlines. Demonstrated success in working as part of a team. Experience using Google Suite (Meet, Sheets, Docs, etc.), Microsoft Office and Zoom (hosting and facilitating events or meetings). Experience and knowledge in developing and modifying presentations for in-person and electronic events. Ability and interest in proposing innovative solutions to strengthen events and associated relationships. Additional Requirements: Ability to maintain a flexible work schedule, including some evenings and weekends for event support; up to 5% travel. Valid driver's license and own means of transportation with required liability insurance and/or ability to transport themselves to/from multiple locations for work, at times in a single workday. When not in the assigned office location, employees must be reachable with a mobile number at the employee's own expense. Must have reliable internet if/when working outside of assigned office location. Must be able to work regularly at a dedicated/assigned Extension office. Ability to work on a computer for prolonged periods of time (up to 8 hours a day). Must be able to sit/stand for long periods of time (up to 8 hours a day) and lift, push, pull, carry up to 30 pounds frequently and push/pull 50 pounds occasionally. Must be able to respond to in-person, email and phone inquiries frequently and have work interrupted on a frequent basis. This position is not eligible for employment visa sponsorship.
