The Educational Coordinator develops policies, procedures, and standards for ensuring students' timely completion of academic programs as well as student's compliance with general University guidelines. The position analyzes data and compiles and prepares reports on program effectiveness and may represent the program internally and externally.
About the Work Unit
The Department of Teaching and Learning is located at the Wyatt Center on the Peabody campus. The department is committed to understanding the most effective teaching tools in science, math and language arts. Faculty spend as much time in the classrooms of Nashville’s public schools as they do in the seminar rooms of the college, guiding some of the best-prepared new teachers in the country.
Duties and Responsibilities
• Oversees and coordinates the activities of the student services function for the academic unit; oversees the processes of admissions, advisement, and record keeping, and oversees aspects of student recruitment and/or candidacy for graduation as appropriate.
• Oversees and coordinates the collection, compilation, and analysis of program activity data; designs data collection systems and procedures; develops, writes, and presents comprehensive reports; answers requests for program information, including surveys and annual reports.• Represents the director/department within and outside the university as needed; participate in all Graduate School meetings.
• Participates in the formulation and maintenance of operating policies and procedures for the student services area and serves as liaison between faculty and advisement staff on policy and procedural matters.
• Responds to inquiries and researches and resolves problems related to transactions handled by the unit; serves as liaison with other constituencies in the resolution of day-to-day administrative and operational issues.
• Develops operating goals and objectives for the unit; implements and administers methods and procedures to enhance operations, as appropriate to the unit.
• Advises and assists students in the determination of course requirements and scheduling of classes with the direction of the Director of Graduate Studies.
• Collects scheduling information for the undergraduate programs for each semester and summer sessions.
• Enters large complex schedules in CPI (coordinating special cases such as cross-listings, eligibility for other majors, new courses, etc.)
• Updates course/instructor information as needed.
• Reviews and proofs academic schedules on YES and works with Academic Services and the URO on changes.
• Submits TA assignments to URO for those assigned TA/Course Asst/Course Coordinator/Grader) to facilitate Bright space Access
• Submits TA/Course Assistant/Course Coordinator/Grader assignments to the URO for class offerings in the departments that feed into information systems: Brightspace, YES, and the Course and Teaching Evaluation System.
• Assist the admission application screening process; reviews applications and makes recommendations based on established guidelines and procedures.
• Assists in the admissions process; routes the application in SLATE to faculty for review. Receives then back to send an admit/denial notification. Sets up interviews if needed.
• Establishes and administers processes and procedures for student records management, archiving, and destruction, in accordance with established regulations, policies, and standards for the maintenance, handling, and disposition of student and institutional records.
• Assist in the coordination of financial advisements activities for prospective students and prepares a range of recruitment and admission information handbooks and other literature.
• Provides information and assistance to prospective and current students about admissions criteria, program requirements, course content and schedules and registrations (assists students with course selections and canceled courses); triages, conducts basic research, and refers issues involving academic and grading problems; and provides information and assists and refers students with inquiries regarding graduation requirements.
• Works closely with incoming students to provide an overview of electronic resources and key essential
communication venues.
• Recommends and implements new policies and/or update existing policies. Advise faculty in regarding to student/academic policy changes.
• Work closely with the Program Directors of the professional programs and the Director of Graduate Studies
• Works closely with VU Office of General Council in establishing and managing Educational Affiliation Agreements.
• Oversees and/or participates in the development and presentation of new student orientation programs.
• Purchase, track and prepare expense reports for graduate students professional development funds.
Supervisory Relationships
This position does not have supervisory responsibility; this position reports administratively and functionally to the Administrative Manager.
Qualifications
Bachelor’s Degree is required
Strong organizational skills are necessary
Ability to compile and analyze statistical data, draw inferences and prepare strategic and operational reports and recommendations is preferred
Ability to create, compose, and edit written materials is preferred
Program oversight and fiscal management abilities as well as the ability to monitor details is preferred.
Knowledge and comprehensive understanding of student records management principles, regulations, policies and procedures is preferred
Ability to work on multiple projects is necessary
