As a Document Controls Specialist, you will be managing company and client documents while also ensuring their accuracy, quality and integrity. Day to day tasks may include scanning, collecting, organizing and maintaining documents in strict adherence to company and client document lifecycle procedures. Typical documents include drawing and specification deliverables, RFIs, shop drawings, cost estimates, and change management forms. Additional tasks may include assisting project managers with the management of contract documents.
Responsibilities will include:
Filing hard copies and electronic copies of project documentsRetrieving documents from various client document management systemsAssisting with training new employees on project specific document management proceduresParticipate in project quality auditsTimely distribution of documentation and information to appropriate team membersPerform clerical tasks to generate documents as necessaryDirect communications with client project delivery teamPull together proposals, change orders, and monitor scope creep. Track proposals from submission to client through to submission of PO from client and verification of POReviewing invoicing from subcontractors/consultants, and review draft invoicing to clientFacilitate project progress meetings with the team including compiling RFI, schedule delays, submission deadlines, drawing requests and follow up with both team and client as appropriate to provide team the information they need to finalize designsEducation | Experience:Minimum Qualifications
