Job Description
AECOM has an immediate need for an experienced Document Control Specialist in Roanoke, VA. In this role, the selected candidate will primarily work with our Buildings & Places team, supporting our architecture, interiors and building engineering design practices, and may also work with our transportation engineers and water/civil engineers. This position is for candidates possessing experience using Microsoft Office programs, and with an excellent grasp of English grammar. This role may support up to fifteen Project Managers simultaneously on various projects ranging from low to medium complexity. This is a hybrid role that will require 3 days per week in the Roanoke, VA office.

The responsibilities of this role include, but may not be limited to, the following:
Experience using MS Word, with a demonstrated ability to apply the application of styles (e.g., creating new styles, modifying and applying styles to existing documents, etc.).
Manage the development of project documentation, including setting deadlines for contributors, quality reviewers/managers, and production staff to ensure timely delivery of end products.
Review, format, edit, update and manage documents (design charrettes, analyses, studies and other reports) to ensure their accuracy, integrity and quality.
Incorporate automations and improve workflows in document development, formatting, and production to improve team efficiency in preparing Word , PowerPoint, and PDF documents.
Work collaboratively and effectively in a team setting with a variety of personalities and levels of organization/management
Apply layout and formatting skills to insert figures, tables, charts and similar graphics and images into Word documents.
Collaborate with manager and internal teams on various components of projects to obtain an in-depth understanding of documentation requirements, including deadlines and deliverables.
Interpret directives regarding revisions and formatting of documents, and make intricate additions and corrections to existing documents.
Create and adapt document templates and ensure that formatting guidelines are consistently followed within each document.
Conduct final quality assurance checks for all document deliverables.
Convert documents to PDFs with bookmarks and package documents for printing.
Interface with print vendor and monitor the timely production of documents, to include the delivery of final copies.
Offer technical and training support to staff regarding the use of MS Office in general and Word styles specifically.
Support office staff with developing other types of materials including proposals, letters and presentations
Work under limited supervision.
Manage the set up and maintenance of document control / records management for multiple projects and Project Managers.
Ensure that all local practices and activities comply with company policies and procedures.
Qualifications
Minimum Requirements
Bachelors degree plus 4 years of relevant experience or demonstrated equivalency or experience and/or educationRelevant experience must include the following:
Demonstrated experience with written communications using Microsoft Office (including PowerPoint) with the ability to apply MS Word styles to new and existing documents
Previous experience proofreading documents to ensure they are free from any/all types of errors
Demonstrated experience setting, managing and meeting deadlines with and for a team
Preferred Qualifications
Bachelor’s degree in English, communications or journalism, or a related course of study is preferred
Experience using graphics software such as Adobe Creative Cloud, InDesign, Photoshop and/or Illustrator is helpful
Previous experience supporting Project Managers at an Architectural/Engineering firm is a plus
Offered rate of compensation, in Roanoke, VA location only, will be based on individual education, qualifications, experience, and work location. The salary range for this position is $60,000 - $85,000.
