  Job Overview

  The Department Administrator (DA) fulfills the academic and administrative needs for the Department of Performing Arts (https://performingarts.georgetown.edu/about-us/) , a complex and multi-faceted department that includes both the American Musical Culture and Theater & Performance Studies degree programs, as well as Dance and Public Speaking non-degree programs, as well as the Davis Center for Performing Arts. This opportunity is a one-year term position, with a possibility for renewal.

  They manage the financial operations within the units, including budget management, payroll reconciliation, purchasing and accounts payable matters, grant support; oversee the human resources and faculty appointment processes to provide day-to-day support and ensure the continuity of faculty, staff and students working within the units; and support various personnel activities, including recruitment, onboarding, annual reviews, policy compliance, and terminations.

  The DA provides administrative support to the Department Chair, Program Directors and faculty within the department. They schedule meetings and take minutes, manage events, maintain records of departmental space, and liaise with other units on the department’s behalf. Additionally, they create and enter course schedules for all semesters, perform room scheduling for classrooms - as well as rehearsal and performance spaces; and maintain records of course offerings.

  Additionally, they are often the first point of contact with the department, helping to connect students (prospective and current), faculty, and guests to information and resources. When invited guests (scholars and artists) visit, the DA helps coordinate travel and schedules. As well, they maintain departmental records, conduct analysis, and provide reports to the Chair, Dean’s Office and others upon request.

  The DA coordinates communication with academic partners regarding collaborations, cross-promotion of research and curricular events, co-sponsorships, and cross-listing of courses, including working collaboratively with the department’s interdisciplinary initiatives - for example, the Lab for Global Performance & Politics, Georgetown Humanities Initiative, the Racial Justice Institute, and Georgetown Environment Initiative.

  Work Interactions

  Reporting directly to the Chair, the Department Administrator supports the academic and administrative needs of DPA, with a dotted line to a designee within the Dean’s Office. They keep a pulse on curricular, staff, and faculty research needs, interfacing with the Chair, Program Directors of Music and Theater & Performance Studies, faculty, students and staff, as well as partners in the Dean’s Office, Registrar, Student Affairs, etc. to effectively manage the administrative needs of the unit.

  As well, they work closely with degree and prospective students across multiple programs, tracking students’ degree process and interacting frequently with Program Directors, Chair and various Deans on academic matters; and hire, train and serve as timekeeper for student workers in the administrative hub.

  At times the DA’s duties may fall outside standard business hours, involving more intensive focus and more complex and varied interactions than in most academic units with a wide range of stakeholders including administrators and faculty from across the University, alumni, and the wider public given the large number of public performances, special events and receptions each semester.

  Requirements and Qualifications

  Bachelor’s Degree

  3-4 years of experience in office management and financial operations - preferably in a university environment and/or in a performing arts space

  Strong interpersonal skills and the ability to communicate with a wide range of individuals and constituents in a diverse University community

  A collaborative approach and ability to represent and articulate the Department’s academic mission, approach, values and requirements to a wide variety of constituents, including DPA’s deep commitments to diversity, equity and inclusion

  Strong analytical, written and verbal communication skills

  Experience and knowledge of the performing arts, preferably in a liberal arts University context

  Experience mentoring and managing a wide range of student support staff

  Excellent organizational skills, attention to detail and policy compliance

  Excellent cross-platform technological skills, including ability to support website updates, departmental communications and fluency with social media

  Proficiency with MS Office software and fluency with related platforms, such as Excel, Canvas, Box, GMS, Google Drives, etc.
