Description We are seeking a highly organized and personable individual to join our dental practice as a Front Office Administrator. The ideal candidate will be the first point of contact for patients, providing exceptional customer service while efficiently managing administrative tasks. This role plays a crucial part in ensuring the smooth operation of our dental office.
Responsibilities:
Patient Reception: Greet patients warmly as they arrive, check them in for appointments, and ensure all necessary paperwork is completed accurately.
Appointment Scheduling: Manage the appointment calendar effectively, scheduling patient appointments and follow-up visits to optimize the dentist's time.
Billing and Insurance: Handle patient billing, process insurance claims, and assist patients with understanding their insurance coverage and financial responsibilities.
Phone and Email Communication: Answer phone calls and respond to emails promptly and professionally, addressing patient inquiries, scheduling appointments, and providing information as needed.
Patient Records Management: Maintain accurate patient records, including personal information, medical history, treatment plans, and insurance details, ensuring compliance with privacy regulations.
Office Organization: Keep the reception area and front desk tidy and organized, restocking supplies as needed, and maintaining a welcoming atmosphere for patients.
Coordination with Clinical Staff: Collaborate closely with dental assistants and hygienists to ensure efficient patient flow and timely communication regarding scheduling changes or patient needs.
Administrative Support: Assist with various administrative tasks, including filing, data entry, and managing office correspondence, to support the overall functioning of the dental practice.
Requirements:
Experience: Previous experience in a dental or medical office setting is preferred but not required. Candidates with strong customer service backgrounds will also be considered.
Communication Skills: Excellent verbal and written communication skills are essential for interacting with patients, colleagues, and insurance providers professionally and effectively.
Organizational Skills: Strong organizational abilities are crucial for managing appointment schedules, patient records, and administrative tasks efficiently.
Attention to Detail: A keen eye for detail is necessary to ensure accuracy in patient records, billing processes, and administrative duties.
Computer Proficiency: Comfort with using dental practice management software, Microsoft Office suite, and basic computer skills are required for managing patient records and performing administrative tasks.
Customer Service Orientation: A friendly and empathetic demeanor, along with a commitment to providing exceptional customer service, is essential for creating a positive patient experience.
Team Player: Ability to work collaboratively with other team members in a fast-paced environment, demonstrating flexibility and adaptability as needed.
Education:
A high school diploma or equivalent is required. Additional education or training in healthcare administration or related fields is a plus. Requirements • Proficiency in using medical software including Allscripts, EHR SYSTEM, and Medisoft
• Experience with Microsoft Excel and ability to create charts and graphs
• Knowledge of billing functions within a medical setting
• Understanding of chiropractic practices and procedures

• Ability to work with insurance processes and claims
• Experience in a medical front desk or similar role
• Excellent communication and organizational skills
• Ability to maintain patient confidentiality and adhere to healthcare regulations
• Detail-oriented with a strong focus on accuracy and quality of work.
