Job Description:
Coordinator for Interpreter Scheduling
Under general supervision of Manager and following established policies and procedures, is responsible for assuring a smooth operation of the Interpreter Services program, under well-defined goals and objectives. Performs tasks, make critical decisions determining type of interpreting service needed, availability of resources, and collaborating with Lahey staff to provide the best patient care. Offers advice and recommendations to leaders and providers in regards of daily workflow and productiveness. Proactively and creatively organizes interpreter’s schedules so as to meet patients’ needs, while controlling salary expenses to operate within budget. Listens to, resolves and mediates where appropriate, complaints and performance reports from multiple parties, workers, clinical department leadership, providers, and agency representatives. Proactively requests agency interpreters, maintains communication with them upon arrival and as interpreters are on premises to ensure provision of service of all linguistic needs for outpatient and inpatients requests. Coordinates special requests (i.e.; unscheduled/last minute request for a very rare language/dialect for an inpatient floor), works with the daily report of interpreters need, enters linguistic requests in the scheduling system as part of the departmental internal protocol for easy identification of all requests received on a daily basis by date and language.
1)Work alongside the Coordinator/Triager to forecasts the need of interpreters and linguistic resources for all Lahey Hospital and Medical Center
3)Assist in monitoring the daily flow of requests to identify special requirements for linguistic needs
4) Checks future schedule to identify cancelled and rescheduled appointments, as well keeping a constant observation of last minute cancelations to promptly reschedule the linguistic professional. This requires diligent, constant view to successfully negotiate the dismissal of high fees from contracting agencies.
5) Requests interpreters and records precise data of all linguistic requests and confirmation of interpreter coverage. All this data is input and proof of services to support agencies monthly invoices.
6) Receives an average of 80 calls per day from clinics and agencies. Immediate action is required to solve on demand requests, problems with interpreters from the agency, and rapid changes in the schedule of appointments. Excellent problem solving skills is required.
7) Triage all interpreters for all languages, daily, in conjunction with the Coordinator/Triager.
8) Triage the high pace operation of the Spanish Team, daily, in conjunction to the Coordinator/Triager.
9) Assist with emergency department, inpatient request and last minute request to provide optimal service
10) Reviews and verifies accuracy of basic patient information regarding the linguistic request.
11) Reviews notes for special requests when scheduling a linguistic specialist to particular patients/providers.
12) Identifies languages for accuracy and provision of services, as well as cultural components if needed.
13)Identifies problems with interpreters at all sites , take appropriate and prompt action to resolve
14) Contributes to the teamwork within and between departments and organizations.
