  Job Summary

  TheSpencer Fox Eccles School of Medicine (https://medicine.utah.edu/) ( SFESOM ) at the University of Utah combines excellence in teaching, research, and clinical expertise to train tomorrow’s physicians for the rapidly changing world of medicine. The Dean’s Office Administration team provides support to the Vice Dean of Education and the SFESOM education units.

  As the face of the SOM Dean for Education’s office, the Administrative Program Coordinator provides administrative support to the Vice Dean and other leadership and staff members within the Administrative Unit.

  This candidate must be a self-starter and demonstrate the ability to work independently and take initiative to achieve outcomes is essential. The candidate must be reliable, detail-oriented, and have excellent organizational and strong customer service skills. This position reports to the Manager, Administration & Personnel.

  Responsibilities

  Provides general administrative support to the Vice Dean for Education of the School of Medicine as well as other leadership and staff within the Administrative Unit; maintains calendars, schedules meetings, responds to general inquiries, and processes mail; acts as the first point of contact within the Dean’s Office by responding to incoming calls and interacting with visitors, faculty, staff, and students.Provides administrative support at various assigned meetings, retreats, and events, including event coordination, scheduling, compiling agendas, ordering food, and/or taking minutes.Coordinates office supply orders and ensures that materials are properly stocked and maintained.Maintains Dean’s Office conference room calendars; assists faculty and staff with scheduling rooms for meetings.Provides basic technological support for scheduling and aids participants in virtual and hybrid meetings (specifically in platforms Teams and Zoom).Processes building-related updates (key requests, surplus requests, facility work orders, updates name plates, etc.).Schedules travel for staff and leadership.May work with databases and manipulate data as well as prepare correspondence, reports, and presentations as directed.May assist as a search committee member for SFESOM Dean’s Office staff positions.Assists with special projects.Performs other related duties as assigned.Problem-Solving

  This position provides independent coordination and decision-making for all activities of a specified program. The program outcome often impacts the University as a whole. Acts as a liaison between internal and external constituencies involved in program activities. Problems arising from these coordination efforts will be addressed by the incumbent who will refer to the manager for issues outside of program policy and procedure guidelines.

  Minimum Qualifications

  Bachelor’s degree in a related field plus one year directly related experience or equivalency (one year of education can be substituted for two years of related work experience). Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.
