The Department of Youth Services (DYS) is seeking a highly organized individual to fill the role of Communications Specialist. In this role the selected candidate will coordinate the DYS warrant management process, the DYS-On Call system and facilitate criminal record checks for DYS staff, and clients. For additional information about the Department of Youth Services and its programs please watch: https://drive.google.com/file/d/1gyP0kCJ181nBakh9Cc0pNNEyPw7kAoI6/view _Duties and Responsibilities (these duties are a general summary and not all inclusive):_ * Generate various reports to include but not limited to: Bed Count Report-gathering information from area personnel as to program populations, Return Report-generates a nightly report consisting of warrants which have been "returned" as well as these needing returns of service, Nightly Situation Report- copy in detail a summary of reports meeting the criteria for the nightly situation, as well as facilitate client identification process. * Coordinate all DYS quality assurance and compliance efforts, assist with the interstate compact process, and coordinate DYS communication network. * Function as a help desk for DYS Staff and affiliates. * Facilitate paging system to coordinate DYS on-call and communications network. * Prepare daily, weekly, and monthly reports and document all information and actions taken. * Utilize the Juvenile Justice Enterprise Management System (JJEMS) and the Criminal Justice Information System (CJIS) to confirm and enter data. * Identify and process Priority One and Serious Incident Reports (PO/SI). _Required Qualifications:_ * Investigate, collect, and record information in a mainframe database. * Proficient in Microsoft Office (Word, Excel, Powerpoint, and Access) as well as the ability to work with various databases. * Operate various office machines (copiers, fax machines, telephones, printers, answering machines, scanners, etc). * Strong verbal and written communication skills needed using the telephone, voice mail, email and various other software applications. _Preferred Qualifications:_ * * Professional telephone skills along with the ability to manage multiple telephone lines. * Understanding and knowledge of office practices and procedures. * Ability to establish and maintain accurate records. * Ability to perform simple math. * Demonstrated ability to work in a fast-paced environment, manage difficult and stressful situations in a professional and courteous manner and to work both independently and as a team player.
