Position Overview: As a Client Support Representative - Client Assistant and Vendor Support Specialist, you will be the driving force behind ensuring client satisfaction and success while providing support, guidance, and knowledge to our vendors. Your role will involve proactive communication, critical thinking, and a concierge-style approach to assist our valued clients and support our Account Managers.
Key Responsibilities:
Primary Point of Contact: Serve as the primary liaison between clients and the company, ensuring their needs are met promptly and efficiently.
EDI Data Entry: Assist with Electronic Data Interchange (EDI) data entry, handling complaints, orders, errors, account inquiries, billing, and cancellations.
Order Processing: Utilize True Commerce Foundry Platform systems for order processing, including purchase order confirmations, advanced ship notifications, and invoicing.
Communication: Engage in professional inbound and outbound calls with wholesalers, distributors, consumers, business customers, and Account Managers.
Order Handling: Process orders received via fax, EDI, and email using Microsoft Dynamics GP system.
New Client Accounts: Set up new client accounts in GP after approvals, ensuring a smooth onboarding process.
Problem Ticket Resolution: Analyze and process incoming problem tickets, working collaboratively to find effective solutions.
Collaboration: Interact with Account Managers to provide necessary information and support, contributing to overall client success.
Client Queries: Address client questions related to orders, order tracking, product inquiries, and pricing with professionalism and accuracy.
Liaison Role: Act as a liaison to manufacturing suppliers and distributors when required.
Product Knowledge: Maintain up-to-date knowledge of our product line, prices, delivery times, drop-ship items, and various literature.
Collaborative Efforts: Collaborate with the Client Support Supervisor (CSS) to ensure the delivery of quality client support.
Regulatory and Quality Assurance: Assist with documenting incoming complaints and responding to client product questions within approved guidelines defined by Medical Affairs and Regulatory Affairs.
Requirements
Qualifications:
High school diploma or equivalent; bachelor's degree preferred but not required.
Proactive communication skills and the ability to build positive client relationships.
Strong critical thinking and problem-solving abilities.
Proficiency in data entry and using computer systems.
Exceptional attention to detail and accuracy.
Team player with a commitment to continuous improvement.
