A day in the life of an Executive assistant:
Function governance & agenda:
Provide administrative support to leadership management team
Facilitate Manager’s agenda for daily business objectives.
Propose and provide all the technical advice, process, and collaborative tools.
Ensure document management in coordination with the legal department.
Prepare communications materials and presentations.
Facilities, orientate and guide newcomers, deal with internal tools (Purchasing orders, expense reports, visa request, SAP.)
Coordinate general demand Team preparation meetings and assist with any reports that need to be prepared
Prepare monthly reports for meetings with staff representatives (RH)
Control the correct application of procedures within the department and the team.
Organize meetings and coordination of seminars and team meetings, team building.
Travels and Budgets:
Expenses notes and follow up for leadership team members.
Travel organization for leadership team members “ordre de mission”, tickets booking, visa…
Manage the orders of external services/supplies of the Service and ensure the followup at the level of invoicing.
Documentation & collaborative tools:
Manage department archives.
Prepare PowerPoint decks and/or booklets.
Manage SharePoint/Team groups.
Update files accordingly
Ensure the processing and follow-up of specific files related to the activity.
Communication and Events:
Organize events as requested.
Provides a bridge for smooth communication between the leadership team and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
Provide the interface/liaison with the interlocutors of the management team.
Write emails, memos, internal communications, or generally confidential documents. Reporting & centralizing documents
Advanced computer skills including Microsoft Office – strong knowledge of Word, Excel, Outlook, PowerPoint required.
Assistant Teamwork:
Organize his/her own back-up during absence with another assistant.
Be the contact point for the legal part
