Job ID359244 LocationTwin Cities Job FamilyFinance Full/Part TimeFull-Time Regular/TemporaryRegular Job Code7223SC Employee ClassCivil Service About the Job Capital Equipment Manager Hybrid Work Environment Position Overview: The Capital Equipment Manager leads a team of capital equipment specialists in the analysis, maintenance, and disposal of capital equipment and property. This position reviews supporting documentation, collaborates with unit contacts, references University policy and procedures to effectively review, correct, or enter information supporting proper reporting of UM capital equipment and property. The Capital Equipment Manager completes system data entry adjustments as needed to back up team members and reconcile sub-system to general ledger. This position is also responsible for managing the University-wide capital equipment inventory process year-round. Salary Range: $76,500 - $85,000, DOQ Responsibilities include but are not limited to: Capital Asset Maintenance (45%) Lead team in the maintenance of Capital Asset records by providing direction and support to the team, as well as completing reconciliations and review of support. Correct, direct, or perform any data entry for acquisition of items into the UM capital equipment property system from multiple system sources. Analyze the efficiency and adequacy of established accounting procedures; Propose and lead implementation of changes to procedures, as needed. Review and reconcile system to its close to ensure accurate reporting. Leads the annual inventory process for the University by coordinating, addressing communications and updates during the process, and supporting the wrap up of the process through direct interaction with UMN unit contacts. Provides direction to vendor on execution of the annual physical inventory process. Ensures capital asset maintenance is accurate and is compliant with applicable regulations, sponsored reporting, and financial reporting requirements. Capital Equipment Policy and Procedure (20%) Assist in the oversight and monitoring of capital equipment policy by: Assisting in the development and installation of changes and modification in such procedures or the establishment of new procedures. Advise and consult with U-wide department personnel on proper use of equipment policy and procedures. Oversee other system data entry adjustments as needed. Assist departments with questions regarding how to accurately purchase or dispose of capital assets or items for fabricated assets and support the training and communications necessary to support compliance with University policies and procedures impacting the reporting and safeguarding of capital assets. Support Accounting Services Year-end Process (20%) Perform assigned projects as needed during the year-end close process. The special assignments might include reviewing GL details to identify new lease or software subscription contracts or changes to existing contracts, preparing adjusting entries, year-end schedules, and audit work papers. Leadership and Supervision of Staff (15%) Supervise two staff members supporting the capital asset reporting by supervising, training, and reviewing the activities of those who conduct various capital asset, inventory reporting, and tracking tasks. Supervise current workload of team and ensure resources are sufficient to meet various reporting needs. Leads the hiring and development of direct reports through interviewing, selection, training, coaching and performance management. Qualifications Required Qualifications (please document on the resume): BA/BS degree in Business, Accounting, or other related field plus at least four years of experience OR a combination of related education and/or work experience to equal 8 years. Must be detail-oriented. Ability to apply analytical and critical thinking. Demonstrated ability to meet deadlines and problem-solve. Excellent verbal and written communication skills. Ability to work independently, reliably but also adept in team settings. Must possess personal integrity in dealing with asset records. Ability to research equipment information from multiple sources. Three years of inventory management experience. Prior working experience with external contractors performing physical inventory.
