  Description

  1. Support Commercial Team’s Business Activities

  i. Execute event management and end to end process for local based or overseas based activities as well as digital based virtual meetings.

  ii. Provide administrative and logistic support to event organisers and ensure all planned events are properly approved and executed successfully and compliantly.

  iii. Manage and track A&P database to provide commercial team with updated expenditure status on need-to basis.

  iv. Administer and process all internal processes such as HCC, Legal, Procurement (eMP), Travels & Meetings (BCD), and internal meetings.

  v. Manage multiple dashboards and databases to track A&P status.

  vi. HCC Compliance / Legal Contracting.

  Proficient in HCC and Legal’s compliance and regulation to ensure all events executed in full compliance.

  Support and ensure proper and timely submission of event requests through VEM.

  Obtain the relevant approval and prepare legal contracting.

  Liaise with third party stakeholders, HCPs, CMB.

  Manage pre and post event documentation and archival for records and audit purposes.

  Ensure contract execution is proper and timely and proper archival in ICD.

  vii. Procurement (eMP) - PO and RFP

  Proficient in managing eMP, ARAVO, PO and RFP.

  Provide timely and accurate PR / PO and RFP requisition in eMP.

  Conduct quarterly and year end accrual and PO closure.

  Liaise with vendors for registration, invoicing and payment.

  Manage inventory, transportation, and delivery requests.

  viii. Financial Budget and Accrual

  Proficient in budget management, financial compliance, inter-company charges, cost centre and GLs.

  Process IO requisition, familiar with IO system & approval.

  Monitor and track IO and actual expenditure.

  Manage and track financial expenditure dashboard for business review on need to basis.

  Conduct quarterly accrual and periodic IO requisition.

  ix. Overseas based activities and Travel Support

  Prepare and record Travel Requisition for internal approval.

  Arrange hotel accommodation, flight and visa application, restaurant reservation, booking round trips.

  Liaise with travel agents AMEX travel, BCD and business counterparts.

  Prepare travel dockets.

  Meeting and Event Support.

  x. Provide dedicated on-site support at event including

  Prepare & ensure all end-to-end logistics support are met.

  Registration, attendance, onsite management, post event closure.

  Ensure meeting materials are prepared and provided promptly onsite.

  Ensure event is conducted smoothly and successfully as per planned.

  xi. Proficient in all other internal compliance not limiting to

  Business Quality

  Pharmacovigilance

  ISRM

  DARM

  Privacy & Data

  2. Support Supervisor for Company-wide & Ad-hoc Activities and Projects.

  i. Support and assist with company-wide and ad-hoc activities or projects as assigned by the supervisor.

  ii. Provide updates to the supervisor on event activities and other relevant metrics.

  Qualifications

  Diploma - Degree Holder

  Minimum 3 years’ experience in marketing & administrative support (preferable with experience in pharmaceutical’s business).

  Knowledgeable in Pharmaceutical portfolio preferred

  Experienced in event management/onsite support and is capable to organise physical and virtual meetings, including product launches, product trainings and conferences.

  Possess excellent interpersonal and communication skills.

  Demonstrate strong initiative, planning, organizational and decision-making skills.

  Positive team-player with strong interdependent and collaborative partnership with multiple stakeholders (internal & external).

  Results oriented with high sense of urgency to deliver positive results for the business.

  Has high integrity, ethical & professional behaviour.

  Independent, self-driven and motivated to handle new challenges.

  Positive learner and contributor.

  Proficient in office administration and MS Application, e.g. Excel, PowerPoint, Words, MS Team, ZOOM, SharePoint.
