Position Overview
Primary Function of Organizational Unit
The School of Graduate Studies is the principal academic unit for North Carolina Central University graduate and professional education. Through the School of Graduate Studies, colleges and departments are allocated funds for graduate assistantships and tuition remissions which is use to serve the diverse needs of students.
Primary Purpose of Position
The primary purpose of this position is to manage all aspects of the general operating budget for the School of Graduate Studies. Responsibilities of this position include: establishing and managing the system for processing all graduate funding and tuition remission; identifying potential funding sources for graduate faculty and students and putting in place mechanisms to help graduate faculty and students secure funding; maintaining internal and external graduate school databases (such as Excel and Access) of all financial information and prepare all financial reports required for all components of graduate studies; and work closely with the division of financial aid on all matters related to graduate funding (loans, cost of attendance, etc.); communicate regularly with all students receiving graduate funding providing guidelines and expectations and also with all directors and coordinators handling graduate funding and provide monthly updates of balances.
Required Knowledge, Skills, and Abilities
The successful candidate must possess knowledge of Banner Finance or an equivalent system; knowledge of budgets and payroll; knowledge of Microsoft Office Suite (Microsoft Word, Excel, Power Point etc…) Applications; knowledge to manage all aspects for graduate funding, including the operating budget, tuition remission, waivers, financial aid, ability to create, manage and implement financial and budgetary policies; use the latest technology in business management and assessment; communicate effectively in writing, particularly in preparing state and federal budget reports and other important documents and communicate regularly with all stakeholders regarding graduate and other funding managed by the Graduate School; ability to work independently with little or no supervision; to take initiative to see projects and assignments through to completion; to learn, interpret and analyze information to make necessary decisions; to exercise judgment and discretion in problem solving; to plan, prioritize and organize workflow; ability to work flexible schedules; excellent analytical and organizational skills along with written and oral communication skills, excellent editing skills; great interpersonal skills to interact effectively and diplomatically with a wide range of individuals in a high pressure environment.
Minimum Education/Experience
Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience.

Function Business and Records Administration

Management of Assistantships and Tuition budgets including tracking and processing all the graduate assistantship/fellowship requests and tuition award/remission forms. identifying potential funding sources for graduate faculty and students and putting in place mechanisms to help graduate faculty and students secure funding; maintaining internal and external graduate school databases (such as Excel and Access) of all financial information and prepare all financial reports required for all components of graduate studies; and work closely with the division of financial aid on all matters related to graduate funding (loans, cost of attendance, etc.);
Function Budget Management
Describe the specific tasks and responsibilities related to the function.
The Business Officer will maintain internal graduate school databases of all financial information (graduate awards, fix assets, operational budget) by using Microsoft ACCESS and EXCEL and prepare all financial reports required for all components of graduate studies; The Business Officer will communicate regularly with all departments by providing guidelines and expectations for submitting GAs and tuition awards/remission; and will communicate regularly with fund specialists who handle graduate funding by providing updates of allocation balances per semester or on request.
Function Communication (Presentations, Oral, and Written)
Describe the specific tasks and responsibilities related to the function.
The Business Officer will give presentations and workshops on the financial and graduate awards process each semester or on request for all graduate coordinators, directors, and graduate students.
