Applications are now being accepted for the Assistant to the Director -Illini Union position for Illini Union at the University of Illinois atUrbana-Champaign.
As the community center of the University, the Illini Union drawstogether all members of the University with approximately 16,000 visitsof students, faculty, staff, alumni, and guests on a daily basis. Job Summary
Under minimal supervision, supports the Director and the SeniorLeadership team of the Illini Union in carrying out the administrativeand project-based work.
Duties & Responsibilities
Administrative
1. Coordinates meetings, travel, schedules and purchasing for theDirector\'s office.
2. Facilitate meetings and communicate difficult/sensitiveinformation tactfully and propose solutions.
3. Assist in the planning and execution of special events,meetings, and activities of the Director\'s office, coordinateslogistics, manage resources, ensure events run smoothly and attendevents as needed.
4. Assist in the development of reports and presentations,including but not limited to strategic planning, annual reports, BigTen Union director reports, presentations, and more.
5. Collaborate with the Director and Marketing Director to developcommunications plans for internal and external audiences including;staff, partners, alumni and others.
Projects
6. Collaborate with the Director to plan and execute a wide rangeof projects, events, and programs, monitor project timelines andbudgets, ensuring they are completed successfully and withinestablished parameters.
7. Work with Senior Leadership Team to develop detailed work plans,schedules, project estimates, resource plans, status reports, andmanage the day-to-day operational aspects of assigned projects.
8. Maintain project documentation making sure all project documentsare complete, signed, current and stored appropriately.
Supervisory/Management
9. Recruits and hires Director\'s interns and meet with studentinterns routinely to follow up on projects and initiatives. Foster asense of community and belonging among students by actively engagingwith them and seeking their input on programs, projects,communications, etc. Serves as a resource for interns on projectimplementation and assist Director in education of interns inorganizational management of the Illini Union.
Other 10. Reviews and revises organization-wide systems, policies,and procedures on a bi-annual basis. 11. Serves on internal and/orexternal committees. 12. Performs other related duties as assigned.
Additional Physical Demands
Most work will be accomplished in a typical office work environment.
Hours of work are necessary to accomplish the position\'sresponsibilities assigned. Position involves occasional work on someevenings and weekends.
Position involves limited lifting when managing files and publicationmaterials.
Position may be eligible for hybrid work schedule.
Minimum Qualifications
1. High school graduation or equivalent
2. Any one or any combination totaling five (5) years (60 months) fromthe following categories:
A. ollege course work in business, finance, accounting or a relatedfield:
60 semester hours or an Associate\'s degree equals one (1) year (12months)
90 semester hours equals two (2) years (24 months)
120 semester hours or a Bachelor\'s degree equals three (3) years (36months)
Master\'s degree or higher equals four (4) years (48 months)
B. Progressively more responsible general or specialized officeexperience which included aspects of supervising staff or a jobfunction, organizing, and performing duties that lead to knowledge ofgenerally accepted office principles
Preferred Qualifications
Bachelor\'s degree in business administration, Liberal Arts & Sciences,or other related field of study.
Two years of experience in office administration, project management,and/or communication.
One year resource allocation and/or budget and financial oversight orrelated areas.
One year of supervisory experience.
Liaison experience with senior leadership/administrators.
Experience working in a college union or community center.
Experience in an institution of higher education.
Experience in event management and/or programming.
Knowledge, Skills and Abilities
Ability to meet deadlines, establish priorities, set objectives, andachieve goals.
Ability to communicate effectively in both oral and written form.
