Job Description Summary

The Assistant Project Manager is responsible for the coordination of real estate projects, including tenant improvements, capital improvements, building or site repairs for properties, or other applicable client project work. This role will provide project management support to Project Managers or above for designated projects.

Essential Job Duties :

Supports the project management team and the PD lead who manage a 30-project portfolio with an annual capital delivery target of $30 million.

Assist with the development of the Project Execution Plan, Scoping, Project Folders, Risk Register, PowerPoint Presentations, Contracts, Safety Plans, Operational Readiness Plan, Commissioning Plan, Turnover Packages, and Final Project Objectives.

Create SharePoint lists, libraries, and applications to streamline project documentation and communication.

Process and maintain project related documentation, such as agreements, contracts, purchase orders, and work authorizations.

Assists with project administration deliverables, including reviewing and/or preparing requisitions, status reports, change orders, payment applications, and other invoices associated with the project.

Participate in building evaluations and due diligence reviews and assist with preparation of physical audit reports.

Assists in project close-out procedures.

Support realization and reporting of contractual revenue of individual engagements through performance and maintenance of operational standards.

Utilize cloud services for efficient project management and collaboration.

Perform research on building and facility maps and archives.

Manage documents, ensuring they are organized and easily accessible.

Oversee calendar management to coordinate meetings and deadlines.

Use Microsoft Visio to create process maps and diagrams.

Communicate effectively with scientists, technicians, managers, and construction personnel, both verbally and in writing.

Education/Experience/Training :

Bachelor's degree in Architecture, Engineering, Construction Management, Business Administration or related field preferred.

Five years of related experience preferred.

Strong organizational and administrative support skills with understanding of project management business. Strong organization skills with high attention to detail.

Able to develop client relations, client management and consultation skills.

Basic understanding of accounting principles.

Skilled in oral and written communication.

Strong software competency: MS Project and Microsoft Office Suite, SharePoint Visio

Proven experience as a Project Coordinator or similar role.

Strong organizational and multitasking abilities.

Attention to detail and problem-solving skills.

Familiarity with AP or APA style writing.

Preferred Skills:

Experience in the scientific or construction industry.

Ability to work independently and as part of a team.

Certified Associate in Project Management (CAPM) or similar certification.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.

The company will not pay less than minimum wage for this role.

The compensation for the position is: $29.38 - $38.70
