  Bachelor's degree (foreign equivalent or higher). Three (3) years of progressively responsible full-time administrative experience. Experience with procurement of goods and/or services. Experience with financial planning and/or budget management. Experience with Microsoft Office Suite and/or Google Workspace.Preferred Qualifications:

  Master's degree (foreign equivalent or higher). Experience creating, editing, and submitting reports. Experience reconciling accounts. Experience with project management. Experience with financial reporting tools/systems. Experience with data management, assessment and using statistical analysis software. Experience using databases such as Wolfmart, SUNY BI and/or talent management systems. Experience with hiring and training student staff. Experience working with sensitive data. Experience working with a diverse college population.Brief Description of Duties:

  Reporting to the Senior Director of Strategic Initiatives and Operations for Student Life, the Assistant Director for Student Life and Initiatives will provide leadership to the Office of Student Life which encompasses, Student Engagement, Campus Life Centers, Student Community Development, Diversity, Intercultural, and Community Engagement, SB Marching Band, Fraternity and Sorority Life, and New Student and Transitions Programs. They will lead all budget, procurement, on-boarding of students and be responsible for the business activities that will include all related administrative activities of finance, personnel, and reporting. Fiscal responsibilities include monitoring the daily activity for several accounts. They will develop the departmental budgets and manage the capital projects. This position will deal with a wide range of individuals and groups associated with the university.The Assistant Director for Student Life Operations and Initiatives will have excellent verbal and written communication skills as well as interpersonal and organizational skills. They will exemplify a strong work ethic and integrity, with a high level of professional discretion of confidential and time-sensitive information and documents related to all departmental activities. Essential for this role is proficiency with computers and strong analytical skills.

  Budget, Purchasing and Account Management:Develop and update the Student Life central and department budgets, planning and management, record keeping, fiscal projections and analysis, and policy compliance in partnership with the Assistant Vice President and Dean of Students and the Senior Director of Strategic Initiatives and Operations for Student Life.Create reports on budget use and spending patterns for all accounts within the Student Life unit.Collaborate with the Director of New Student and Transition and Programs with fiscal recording keeping, analysis, and projection, to ensure proper use of Orientation fee.Coordinate and plan for the use of the Student Life & Recreation fee, project expenses over multiple years, and ensure accurate and responsible use of the Student Life portion of the fee.Meet regularly with the Senior Director and the Director of New Student and Transition Programs to review & reconcile fiscal transactions.Meet regularly with the budget officers within the Division of Student Affairs to ensure fiscal compliance and responsibility from a divisional perspective.Meet regularly with the budget officer for Campus Recreation to reconcile transactions regarding the shared Student Life & Recreation fee to ensure all parties are spending appropriately.Meet quarterly with the budget office for Campus Residences and the Director of Campus Life Centers to reconcile transitions regarding the allocation of funding provided to support Campus Life Center facilities (Bauman and DeVries) and to ensure fiscal compliance and responsibility for the CLC department.Collaborate and serve as a liaison between the Office of Student Life and the DOSA CRAFT Team to build a Student Life data dashboard, annual reporting document, and assessment instruments.Project Management and Assessment:Manage projects as assigned by the Senior Director and/or AVP and Dean of Students.Support department leadership in data analysis, program assessment, analyzing and strategic planning for all units within the Office of Student Life.Work with vendors on products and services, installs and payment. Create spreadsheets and assist with tracking of timeline specific to projects and services. Manage all purchase orders related to projects and assist with tracking of expenditures annually.Recruitment, Training, Development, & Supervision:Lead and execute an all Student Life student employees fall and spring employee training and onboarding program. Develop and implement an employee curriculum model that helps translate learned on the job skills to become career ready post graduation.Responsible for the development, coordination and management of the Student Life central office operations.Responsible for the roll-out and maintenance of hourly student employee management software for the Student Life unit.Responsible for leading the creation, implementation, and maintenance of an employee appreciation and recognition program for both full-time professionals and hourly student employees.Supervise a graduate hourly employee, including recruitment, selection processes, hiring, staff training and evaluation, time reporting/tracking, and performance review.University/Divisional Service, Programs, & Events:Work collaboratively with the Senior Director during major programs and events offered by the Office of Student Life and the University (i.e., Welcome Week, Homecoming, Commencement, Convocation, etc.).Coordinate logistics including arranging meeting and conference facilities, arranging food service, lodging, and transportation information. Negotiate contracts and arrange with vendors to provide services.Collaborate with the planning and execution of Family Weekend Programming with the Assistant Director for Student Affairs Events & Initiatives.Professional Development and Committee Involvement:Participate in opportunities that promote your learning, growth, and development (i.e. classes, training, committee, webinar, etc.). Contribute to the Division of Student Affairs and Stony Brook University by attending and/or supporting events, activities, and programs sponsored by areas outside of your individual unit/department (i.e. campus wide traditions, events, programs, etc.)Other duties or projects as assigned as appropriate to rank and departmental mission.Evening and weekend work may be required at times.

  Special Notes:

  This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.In addition to the employee's base salary, this position is eligible for $3,087 UUP annual location pay, paid biweekly.Essential Position: This has been designated as an essential position based on the duties of the job and the functions performed.
