Administrative Support Assistant
Patient Relations Department

The Administrative Assistant supports the day-to-day operations of a department within the Albany Med Health System, and provides essential assistance to Supervisors, Managers, and Directors. Basic office duties include answering phone calls, sorting and filing documents, scheduling appointments, and maintaining office records. The Administrative Assistant also assists in the maintenance of staff files, assisting in staff scheduling, assisting in the general onboarding of department staff, operating and maintaining office equipment, and data entry or collection where needed. The administrative assistant additionally provides word processing and other document and report preparation in support of management and technical staff.
Education & Certification Required:
High School Diploma or equivalent. Responsibilities:
• Answer and direct phone calls• Organize files and documents• Schedule meetings and distribute material• Write and distribute email, correspondence letters, faxes, and forms• Order office supplies• Maintain contact lists• Provide general support to visitors and patients• Act as the point of contact for internal and external clients
Skills:
• Proven experience as an administrative assistant or office admin assistant, a plus• Exceptional customer service skills• Knowledge of office operations • Working knowledge of office equipment, like printers and fax machines• Proficiency in MS Office• Excellent time management skills and the ability to prioritize work with frequent interruptions• Attention to detail• Excellent written and verbal communication skills• Exercise good judgement• Strong organizational skills with the ability to multitask
