JOB DESCRIPTION AND POSITION REQUIREMENTS:
The Office of the Assistant Dean for Undergraduate Students in Eberly College of Science (http://science.psu.edu/) is seeking a detailed-oriented, motivated individual to provide administrative support for several areas of this office. This Administrative Support Assistant 3 position will primarily support the Offices of Science Engagement and Future Students.
This position will also be responsible to:
Administratively support the Future Students Coordinator in planning, scheduling, and coordinating prospective students visits, assist in the organization of special events, and communications to prospective students.
Provide administrative support for the Office of Science Engagement (OSE), including assistance with registration, planning, and administration of events, career opportunity monitoring, coordinating communications and collaboration with stakeholders. Maintain and update digital signage for programming and announcements. Process financial transactions and employee reimbursement for staff and students for OSE programs; provide budget support and tracking spending in the office.
Serve as the first point of contact for all visitors to the Ritenour Building, including phone calls and emails to the main office lines. In conjunction with advising, support change of major, change of campus, and leave of absence requests Process grade forgiveness requests, course drop/add requests, course repeat requests, and other records related requests in consultation with the assistant dean.
Provide support for all Commencement Ceremonies, order supplies for offices, occasionally provide support to the records coordinator on student records needs, and provide back up support for building maintenance requests, building access requests, building mail distribution and conference room scheduling.
Education and Experience
This position typically requires a High School diploma or higher plus two years of related experience or an equivalent combination of education and experience.
Excellent communication, organization, and customer service skills are critical, as is the ability to work independently and in a team environment. We seek an individual who will take initiative, is willing to learn, and can shift between tasks and offices with ease.
Proficiency in Microsoft Office, particularly Excel and Word, is required. Experience with SIMBA (System for Integrated Management, Budgeting, and Accounting), SAP CONCUR, LionPATH (student portal), CANVAS, 25Live, and Work Lion (HR portal), or similar systems, is preferred, but not required.
