The Western Psychiatric Hospital Office of Grants and Contracts (OGC) is seeking individuals interested in joining a diverse group of research administrators serving the University of Pittsburgh Department of Psychiatry. As a top funded psychiatry department, our faculty are engaged in groundbreaking mental health research. The OGC is a dynamic and collaborative group that manages the fiscal operations of the department and works with university faculty members in all aspects of research grant administration.
The Administrative Specialist will contribute to the mission of the OGC by providing support to department faculty and staff and collaborating with other OGC team members in different components throughout the lifecycle of research grants. Our Administrative Specialist will also have the opportunity to grow within the team in a career ladder that rewards professional development and continuing education. This position is 90% remote work with the other 10% working from the Parkvale Building in Oakland, PA.
Responsibilities:
Manage monthly invoices, process community partners' payments, and maintain spreadsheet for payments.
Monitor and develop Contract Service Agreements (CSA's).
Work closely with the Office of Grants and Contracts, to ensure that all research activities are in compliance with appropriate university and funding agency guidelines.
Assist with contracted service agreements for community partners.
Develop, coordinate and maintain a series of databases of all ongoing research activities.
Maintain shared server for investigators.
Assist with the preparation of documents.
Prepare copies and deliveries to necessary groups for input or other requirements.
Provide administrative support in working on grant proposals.
High School Diploma or equivalent and 3 years prior administrative experience
OR
Bachelors Degree required.
3 years prior administrative experience required.
Prior work experience in a research environment preferred.
Experience working on research related projects.
Capable of monitoring several projects and deadlines simultaneously while working on each effectively and accurately.
Strong communication skills to work effectively with a diverse range of individuals.
