  The University of Maine System is seeking to fill a part-time (20 hours per week) A dministrative Specialist-CL3 position. The position will be located on the University of Maine at Fort Kent (UMFK) campus and will provide support to the Division of Arts and Sciences and Professional Studies .

  The successful candidate will communicate both verbally and in writing with a variety of individuals including university staff, students and the general public. They will work closely with Division Dean, Unit Chairs and Program Leads, assist faculty and students, coordinate and set up meetings, manage calendars, process accounts payable for the department, assist with projects, and perform general administrative duties.

  The ideal candidates will be proficient on all MS Office, PeopleSoft and Google applications and will have the ability to perform related duties and responsibilities as assigned. The Administrative Specialist will work independently with considerable discretion and initiative.

  Duties specific to the Administrative Specialist:

  Collaborates with Division Dean, Unit Chairs and Program Leads to prepare and manage the Art & Sciences and Professional Studies division budgets.

  Researches and recommends department purchases.

  Researches and makes recommendations related to policy and procedure queries relevant to academic, divisional, and financial matters.

  Assists new department hires and current department faculty and staff on the use of Concur, MaineStreet, Marketplace.

  Drafts, proofreads, modifies and finalizes a full range of written and verbal communications on routine and non-routine matters, including minutes for Division/Unit meetings.

  Assists with the Division's program reviews, help coordinate the Scholars’ Symposium presenters from start to finish, including responsibility for determining dates/times of arrival/departure, etc.

  Executes all functions related to Divisional procurement including quantifying and reconciling purchases and receipts.

  Monitors and approves time for Division work study students.

  Assists faculty and students, coordinates and sets up meetings, manages calendars, assists with projects, and performs general administrative duties.

  The hourly rate for this position is $19.59 for a new hire or the appropriate transfer rate for a current employee within the ACSUM/ COLT collective bargaining unit. This position is eligible for benefits.

  Qualified applicants must demonstrate strong communication skills, experience with MS Office, experience in budgeting and accounting and the ability to work both independently and as part of a team.

  Qualifications:

  Required:

  60 Credits or more of higher education or the equivalent work experience and training

  Three years administrative support experience

  High School diploma or equivalent

  Preferred:

  Progressive experience providing administrative support to a chief executive

  Experience in office management

  High level administrative work, or work in a related field

  Bachelor's degree or equivalent combination of training and work experience

  Experience utilizing Concur, Marketplace and Mainestreet

  Prior public higher education experience

  Required Knowledge and Skills:

  Strong communication skills; oral and written

  Strong MS Office/ Computer experience

  Budgeting and Accounting experience

  Demonstrated experience working both independently and in a team environment

  Preferred Knowledge and Skills:

  Prior public education experience

  Office management experience

  Experience with Concur, MarketPlace, and Mainestreet
