Job Summary/Basic Function
About This Role:
Performs a wide range of administrative support services for Graduate Nursing Studies ( GNS ) and overall Dishman School of Nursing. Provides administrative support through problem solving, organization and office management skills. Develops and maintains electronic student databases. Assists with data collection, reports and student advising for online students. Uses advanced Microsoft Word, Excel and Access software skills. Has some latitude in decision-making in carrying out routine phases of work, giving information, maintaining electronic records and files, and creating/preparing routine reports. Works closely with Director of Graduate Nursing Studies ( GNS ) for GNS activities. Reports to the School of Nursing Chair for overall School of Nursing activities and personnel issues.
Position Duties:
Processes and maintains record of graduate students’ practicum-readiness documents, emails to/from students and faculty pertaining to eligibility for practicum enrollment.
Provides administrative support to the Graduate Nursing Studies office. Assists other administrative associates as needed. Performs receptionist activities for all areas of the School of Nursing, including good customer service; greets visitors and students and ensures phone calls are answered promptly and directed appropriately. Serves as an essential communication link among faculty, students, general public, practicum agencies and internal university constituents.
Provides support to faculty in implementing all academic activities including word processing, printing and copying course materials. Provides administrative associate functions for special projects in the School of Nursing.
Assists Directors in admissions and progression activities including preparing and maintaining student electronic files, notifying students of acceptance decisions and status, securely maintaining students’ records and responding to questions about the nursing program from the public and students.
Develops and maintains student databases. Maintains on-line student records.
Provides administrative associate functions for various committees (for example, Graduate Nursing Studies, Program Evaluation) assigned by the School of Nursing Chair. Records, transcribes, maintains record of minutes of School of Nursing meetings.
Assists Chair and Directors in meeting accreditation and regulatory requirements/standards by gathering data for and processing annual reports to agencies and responding to questionnaires associated with accreditation. Assists in preparation of School of Nursing, state and national reports using advanced skills in Microsoft Word, Excel, and Access.
Processes degree plans and candidacy papers for graduating students.
Processes and maintains record of travel request forms, vouchers, and receipts for faculty reimbursement.
Completes and processes standard forms, prepares memos, e-mails and routine letters or writes components of short reports in a timely and accurate manner.
Assists with general School of Nursing duties (for example, deliveries on-campus, mail pick-up, copying for all areas of School of Nursing, answering phones, filing, shredding, course materials. troubleshooting in addressing current and prospective students’ questions/issues, etc.)
Performs other duties as assigned.

Minimum Qualifications
What You’ll Need to Succeed:
Associate degree or two years of college coursework related to job functions, or combination of education and experience in related field (2 years of experience = 1 year of formal education).
Three years of secretarial or office experience required; experience in educational setting preferred.
