Business Administration Supervisor
Job Description
We are seeking a highly motivated and organized Business Administrator to join our team. This role will include a blend of traditional business administration responsibilities along with a variety of Human Resources tasks.
Purpose/Scope
Provide high level effective HR, Office Administration, and Training Organization to a diverse workforce, ensuring that all related Management matters are dealt with promptly and support is provided.
Responsibilities
Administrative Management:
Prepare and organize reports, memos, and other documents required necessary to complete the job.
Provides periodic reports or staffing, workflow, volume metrics, and other key performance metrics to document business operations. Analyzes reports to ensure business operations are efficient and cost-effective. Identifies issues and recommends an alternative course of action.
Analyzes detailed performance metrics and collaborates with managers and staff to formulate service improvement recommendations. Communicates recommendations to senior management to enhance productivity and increase revenue.
Supports management training to ensure that standard business processes are implemented consistently across groups. May provide input and feedback to appropriate parties to enhance training.
Adheres to standard accounting structures in accordance with established policies and procedures. Monitors and audits labor charge reports to ensure that company policies and procedures are adhered to. Recommends changes or updates.
Oversees site payroll and expense report operations.
Coordinate travel for employees going on detachment.
Submit cost estimates.
Implementation and compliance with all training and certification requirements
All other duties as assigned.
Serve as a point of contact between senior management and employees.
Formulate written documents and executive correspondence with minimal need for revision or corrections.
Human Resources:
Assist in the recruitment process, including job postings, screening candidates, and scheduling interviews.
Onboard new employees and manage orientation programs.
Maintain employee records, ensuring all employment requirements are met.
Maintains knowledge of Human Resources policies and procedures, and state and federal labor laws applicable to assigned areas of responsibility.
As the first point of contact in Human Resources, be familiar with all HR related policies and processes and be able to clearly communicate them to the workforce.
Assist with onboarding employees as the onsite representative, helping each candidate through the process, including coordinating with the site training team on New Hire Orientations.
Be a pro-active member of the team by being accessible to the workforce, conducting department visits, attending various site meetings, knowing your team, and staying informed on trends and projects.
Supports a variety of employment/ HR activities for the designated program(s).
Responsible for the HR function between assigned site and business line HR.
Serves as point of contact for managers and employees, as needed regarding employee relations issues.
Partners with business groups on hiring needs and serve as a liaison for successful posting, hiring and orienting new team members.
Develops and/or recommends new policies, practices, and programs to meet management and employee needs.
Ensures execution of corporate HR programs such as benefits enrollment, merit increases, management incentives, performance management and community service activities.
Creates and maintains HR files and updates the information system in accordance with Standard Operating Procedures.
Responsible for maintaining a safe workplace and ensuring that safety is the highest priority in the workplace.
Position may be assigned to a specific targeted business area and may require additional or specific job duties related to assigned function which are not aforementioned.
Prioritize tasks involving multiple procedures, manage time and deadlines, and provide direction to others.
Balance the urgency of competing demands and communicate with leadership to ensure appropriate actions are taken.
Manage and execute multiple assignments and discern priorities with minimal directions.
Provide outstanding service in the face of changing and challenging situations.
Develop the best approaches to improve the quality and effectiveness of administrative support while serving as a trusted advisor to leadership.
Knowledge of government travel regulations and ability to do travel claims.
Coordinate meetings and manage the calendar for leadership.
Coordinate staffing and tracking of Service Contract Approvals (SCAs) and Funding Support Agreements (FSAs) for approval and signatures.
Minimum Knowledge
Bachelor’s degree in human resource management preferred, two (2) years of experience in Human Resources may be substituted for a Bachelor’s degree.
Two (2) to six (6) years of experience in office environment.
Must have divers license.
Federal government contracting experience is highly preferred.
Advanced knowledge of Human Resources functions.
Experience working in a customer oriented professional environment.
Proven organization skills and demonstrated ability to prioritize multiple tasks while maintaining timeliness and accuracy.
Demonstrated ability to meet goals while working under limited supervision.
Must be able to handle confidential information and exercise discretionary judgment.
General computer skills, including spreadsheets, PowerPoint and HRMS.
Demonstrated record of accomplishments in applying HR concepts to difficult and complex assignments.
Must Maintain Secret Clearance.
