DESCRIPTION OF WORKAs an Administrative Officer, you will review, analyze, and make recommendations based on the analysis of data for the Care Transitions Program. The incumbent will be the administrative lead for the billing and federal reporting as required for the Community Care Transitions Program (CCTP) and will direct and coordinate purchasing, accounting, records management, and budgeting for the program.Duties will include, but are not limited to:
Conducting meetings, preparing reports, giving presentations, eliminating program barriers, and assisting the Administrative Officer 3 with the development of new contracts.Overseeing the seasonal intern program at the Agency including their supervision (when appropriate), including recruitment, retention, coordination with DHS intern coordinator as well as university coordinators.Working to build partnerships with the local universities, collaborate with supervisors to create the job descriptions and recruit interns through job fairs and online resources.Once the interns are on board the incumbent will provide the supervision of the intern, meet with intern regularly to assure they are on track with their assignment and hours and coordinate opportunities for the interns throughout their internships.Researching and analyzing all training curriculum processes, implementations, and coordinates training for the AAA.Serving as the lead coordinator for the training at the AAA and responsible for creating a database of trainers and trainings, becoming the Learning Management System (LMS) expert, provide analysis and evaluation of the trainings offered, researching topics of training needs for Leadership, creating operational policies and procedures, and working with the Administrative Officer 3 to develop and implement training at the AAA. This position will also be responsible for new employee orientation for the Agency.Participating in the contract development process with contractors within the Bureau.Creating, organizing, and is responsible for the Bureaus Quarterly Reports.Establishing Bureau goals and objectives in conjunction with the Bureau Captain.Analyzing unit budgets for program funding; tracks spending; prepares reports and validates expenditures and revenue with DHS Fiscal.Providing technical assistance to Bureau.Assistng with the evaluation, revision, and implementation of procedures and policies. Observing and analyzing administrative practices and recommends operational improvements and efficiencies including changes in policy within the Bureau.Conducting meetings to engage with potential stakeholders.Supporting the Bureau with planning and implementation of changes in policies and procedures necessitated by regulatory changes.Planning and developing proposals and making recommendations for innovative projects that support the agency's mission.Leading strategic planning initiatives, as needed, for the AAA and the Bureau.Conducting public speaking engagements, as needed.Performing special job-related administrative projects as requested by the DHS/AAA Bureau Captain.Work Schedule and Additional Information:
