JOB REQUIREMENTS: Position Description: The Administrative Coordinatorin the Cancer Center acts as the primary coordinator and liaison forinternal and external relations on behalf of the Cancer Center Directorand Associate Director of Administration. The Administrative Coordinatoris a dynamic, organized, high personable and self-directed individualwho provides comprehensive administrative and project support to theSenior Leadership of the Cancer Center. The role requires high attentionto detail, as well as a commitment to follow-through and execution. TheExecutive Coordinator assumes responsibility for filtering projects,responds to requests, coordinates internal and external communication,and provides a variety of administrative services in a fast-pacedenvironment. The position manages the calendar for the Director andAssociate Director of Administration and activities to ensure maximumefficiency. Primary Functions Responsible for the day-day management ofthe Director and Associate Director of Administration\'s calendar andactivities. Provides daily/weekly briefing to the Director and AssociateDirector of Administration regarding upcoming meetings and ongoingobligations. Responsible for the timely preparation and presentation ofmaterials for key external and internal meetings involving the Directorand Associate Director. Drafts correspondence on behalf of the Directoror Associate Director. Reviews email communications and assists inproviding timely follow up on all action items. Works with Director andAssociate Director to prepare for internal meetings, presentations andevents, and ensures timely follow up on all action items. OrganizesDirector and Associate Director travel arrangements and prepares expensereports. Coordinates senior leadership meetings and events as neededincluding Director\'s Meetings, Internal Scientific Advisory Board, andPhilanthropic Board meetings. Prepares briefing memos, meeting minutesand relevant updates for Director or Associate Director on outstandingprojects, identifies issues, and develops contingencies and suggestsremedies. Supports the Director and Associate Director in dealing withconfidential or sensitive personnel or other organizational matters.Collaborates with Director and Associate Director to foster asuccess-oriented, positive, high integrity organizational culture.Maintains open communication and collaborates with the Cancer CenterOperations Coordinator on Cancer Center daily operations to create ahigh level of efficiency and effectiveness.
