Position Title Administrative Coordinator
Overview
Provide administrative support to the Director of Community Standards, the Associate Director of Community Standards, and the Associate Vice President for Student Affairs/Dean of Students. Provide coverage or assistance during busy periods to the Office of the Vice President for Student Affairs.
Essential Duties:
Perform intermediate and advanced computer functions including managing databases, creating, analyzing, integrating, and importing spreadsheets, creating mail, envelope and table merges, and creating master documents and reports using information from several sources.
Compose and produce correspondence and reports. Design and produce reports for statistical data and research data on the Internet. Prepare reports from judicial system and various programs regarding student judicial records based on names provided by requesting program and provide information to the Director of Community Standards.
Identify and make recommendations for additional or modified departmental systems. May design and implement new or modified processes; troubleshoot problems with department systems, and present programming changes to enhance functionality for the department while working with IT or directly with vendors.
Prepare and maintain records, files, and databases, most of which are confidential. Maintain Judicial, Title IX and CARE databases.
Coordinate internal and external attendees’ calendars, reserve/schedule meeting rooms, and make arrangements for equipment, seating, and refreshments when necessary.
Provide support to the Associate Vice President for Student Affairs/Dean of Students office in collaboration with the Assistant to the AVP /Dean of Students.
Serve as an internal resource on departmental administrative questions as well as for the Symplicity Advocate software program used by Community Standards and the Title IX Coordinator.
Responsible for the accuracy, maintenance and reconciliation of financial accounts, processing of payments, and deposits of judicial fines. Submit vouchers for payments of departmental expenditures.
Marginal Duties:
Answer phones, greet and direct visitors to appropriate areas or persons. Sort, open and distribute individual or departmental incoming mail and prepare outgoing mail.
Process documentation on assigned sanctions (papers and fine payments) received from students.
Work with Veritas yearbook advisor in scheduling rooms for photographers, distribution of yearbooks, and providing reports of student and parent contact information to both photographers and printing company for mailings.
Perform other duties as may be required.
Education and Experience Required
High School education required. Associates Degree preferred.
Five to seven years’ experience in a progressively more challenging and fast-paced work. environment in a higher education setting or an equivalent combination of education and experience.
Skilled in Microsoft Office Suite, Symplicity Advocate, and Oracle/Banner.
Ability to multitask under tight deadlines.
Ability to communicate effectively with administration, parents, and students.

Salary Grade 17 (Min. $38,500/Mid. $50,050/Max. $61,600)
Salary Information
Employees are normally hired between the minimum and the midpoint of a position’s grade range to which a position has been assigned, depending on experience and qualifications.
