About Administrative Coordinator

  Overview

  PNNL is seeking an administrative coordinator within the National Security Directorate (NSD). The NNSA Leadership Development Group (NLD) works primarily on the National Nuclear Security Administration (NNSA) Graduate Fellowship Program (NGFP), which identifies and develops the next generation of exceptional national security leaders to achieve the NNSA mission: Strengthening our nation through nuclear security. As an Administrative Coordinator, the ideal candidate will provide comprehensive support to fellows and project staff while efficiently anticipating, prioritizing, and implementing organizational missions, commitments, and procedures.

  PNNL administrators require specific expertise and knowledge of standards, practices, and procedures typically acquired through specialized training, work-related experience, and/or formal technical education. This role will provide solutions to atypical problems based on proven practices or procedures. This position impacts direct manager, group, and teams through the quality, timeliness, and effectiveness of work.

  Responsibilities

  Providing administrative support, coordination, and triage workflow for the NGFP Project.

  Maintaining positive & effective working relationships by being tactful & professional with administrative counterparts, coworkers, internal and external sponsors across the national laboratory complex, DOE HQ, PNNL, and Battelle.

  Understands the process of coordinating meetings, processing documents, and how to electronically transmit materials to clients.

  Exercise a high-degree of discernment, sensitivity, and confidentiality when dealing with project and personnel information, in addition to events and activities.

  Independently gather, compile, track and review administrative data to ensure accuracy and completeness. This includes creating and maintaining Excel spreadsheets and charts for tracking a variety of portfolio, initiative, and project functions.

  Identify & make recommendations to resolve administrative issues/processes affecting the organizational unit and teams for a variety of complex problems based on established policy, precedent or knowledge of subject area.

  Demonstrate excellent communication.

  Quickly and accurately coordinate and track complex travel and itineraries, both foreign and domestic.

  Process information release products for staff publications and reporting as required by

  DOE before travel and/or release outside PNNL.

  Create, track, process and reconcile miscellaneous business purchases such as office supplies & computer equipment in a timely manner.

  Qualifications

  Minimum Qualifications:

  High school diploma/GED and 6 years of relevant experience in an administrative environment -OR-

  AA degree or higher and 4 years of relevant experience in an administrative environment

  Experience in planning meetings and coordinating travel

  Preferred Qualifications:

  Extensive working knowledge of Microsoft 365 tools, internal software, and PNNL business systems.

  Excellent oral and written communication skills.

  Experience working in a fast-paced environment with often changing and/or conflicting priorities.

  Demonstrated ability to be proactive in identifying and supporting administrative needs.

  Additional Information

  Due to business needs and client space, US Citizenship is required.

  Pacific Northwest National Laboratory is subject to the Department of Energy Unclassified Foreign National Access Program site, information, technologies, and equipment access requirements.

  HSPD-12 PIV Credential Requirement

  In accordance with Homeland Security Presidential Directive 12 (HSPD-12) and Department of Energy (DOE) Order 473.1A, new employees are required to obtain and maintain a HSPD-12 Personal Identity Verification (PIV) Credential. To obtain this credential, new employees must successfully complete and pass a Federal Tier 1 background check investigation. This investigation includes a declaration of illegal drug activities, including use, supply, possession, or manufacture within the last year. This includes marijuana and cannabis derivatives, which are still considered illegal under federal law, regardless of state laws.

  Mandatory Requirements

  Please be aware that the Department of Energy (DOE) prohibits DOE employees and contractors from having any affiliation with the foreign government of a country DOE has identified as a “country of risk” without explicit approval by DOE and Battelle. If you are offered a position at PNNL and currently have any affiliation with the government of one of these countries, you will be required to disclose this information and recuse yourself of that affiliation or receive approval from DOE and Battelle prior to your first day of employment.
