BASIC PURPOSE
The purpose of this position is to provide clerical support to the overall operation of all departments, employees, volunteers, and visitors to The Salvation Army office. This position requires a great deal of confidentiality in the areas of personnel, program, operations and financial services. As part of the Administration team, flexibility and the abilities to learn and assist with other departments is of great importance.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Assist the Washoe County Coordinators with administrative duties, including but not limited to correspondence, calendars, phone calls, filing, answering questions, etc.
Maintain organization mailing lists.
Organize and prepare for meetings as directed, taking minutes if needed.
Correspond with Advisory Board, including the taking and dissemination of meeting minutes.
Represent supervisors at various meetings and take phone calls related to volunteer recruitment to competently explain various opportunities for service throughout the year.
Assist with opening, sorting and processing of incoming mail.
Post outgoing mail; ensure proper postage is affixed.
Maintain all forms. Ensure the “master” books are kept up to date.
Coordinate all volunteer activities, including Christmas and Special Events. This includes Community Service Programs, ASRO, Re-Employability and other programs that require oversight. Process all paperwork in accordance with policy. Maintain documentation and spreadsheets for statistical analysis and recordkeeping.
Develop and maintain a volunteer database.
Create a volunteer opportunities calendar. Coordinate with all departments to find out their needs and work to seek out volunteers to assist with accomplishing those requests.
Conduct orientations for volunteers. This includes reviewing our departmental requirements and ensuring all necessary paperwork is completed.
Attend and assist with special events.
Assist other administrative staff as needed with deposits, phones and reports.
Other duties as assigned by supervisor.
KNOWLEDGE, SKILLS, ABILITIES AND OTHER QUALIFICATIONS REQUIREMENTS
High School diploma or equivalent.
Ability to speak, read and write in the English language at a high and professional level.
Communication skills, both written and verbal; telephone etiquette a must.
High degree of confidentiality.
Minimum two (2) years Secretary/Administrative Assistant experience.
Computer literate in Windows environment (Microsoft Office), Outlook preferred .
Ability to operate basic office equipment: Fax, copier, printer, calculator, etc.
Excellent organizational skills, utilizing a high level of time management and handling multiple tasks.
CERTIFICATES, LICENSES, REGISTRATIONS
Must possess a valid Nevada Class C Driver License, acceptable MVR and the ability to drive a Salvation Army vehicle.
Must be 21 years or older.
Complete The Salvation Army vehicle course training.
PHYSICAL REQUIREMENTS:
Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis.
Ability to grasp, push, and/or pull objects
Ability to reach overhead.
Ability to lift to 25 pounds.
