[[ADMINISTRATIVE ASSISTANT - LEGAL[[CORPORATION COUNSEL DEPARTMENT
[**[Summary: [Performs varied and responsible confidential secretarial and administrative work for the Department and staff, frequently requiring independent action, utilizing knowledge of legal professional practices and judicial and administrative court procedures. Generates legal documents and correspondence using office and judicial software. Processes and monitors claims against the City by entering data, typing correspondence and reports, including for accidents involving City-owned vehicles, property damage, billing, loss control, etc. Coordinates with third party administrators, insurance representatives, etc. as assigned. Maintains the law library, including filing supplemental materials. Schedules Attorney(s) calendar of activities, meetings, conferences, court appearances and workers' compensation hearings. Creates and maintains office files, logs, indices, legal references, and data bases. Acts as clerk; transcribing legal dictation, audio records, and creating meeting minutes for the Fair Rent Commission, Charter Revision Commission and Code Enforcement Committee, and other commissions or committees as necessary. Such work may include meeting after normal business hours. Serves as department receptionist. Processes bills, invoices, requisitions and payments. Assists with annual budget preparation and maintains records of office expenses. Sorts, opens, logs and distributes mail to staff. Maintains the confidentiality of the office. Prepares and processes department payroll and performs payroll related duties. Maintains and updates department webpage. Maintains contact with other law offices, court personnel, City departments, elected and appointed officials, and the public. Performs related work as required.
[**[Qualifications: [Associate's degree in an appropriate discipline plus at least two years of current legal administrative experience. Education and experience may be substituted. Requires excellent interpersonal, written, and oral communication skills, and intermediate level computer skills in the use of database, Microsoft Office Suite, and Internet software. Notary Public required by completion of probationary period.
[**[Work Hours and Classification:[ 37.50 hours per week, Monday through Thursday 8:00 a.m. to 4:30 p.m., and Friday 8:00 a.m. to 1:30 p.m., full-time position.
