The Administrative Assistant Receptionist will be responsible for directing calls to appropriate personnel, mail distribution, flow of correspondence, requisition of supplies as well as professionally provide general office support with a variety of clerical activities and related tasks. Work Performed: Welcomes visitors by greeting them, in person or on the telephone; answering and referring inquiries. Directs visitors by maintaining employee and department directories; giving instructions. Write and distribute emails, correspondence memos, letters, faxes and forms as required. Review and distribute daily incoming correspondence (via fax, mail, hand deliveries, etc.) Maintains security by following procedures; monitoring log book; issuing visitor badges. maintains telecommunication system by following manufacturerand#39;s instructions for house phone and console operation. Assists Administration with telephone line issues for all locations and departments. Orders, maintains and distributes office supplies to all departments , research new deals and suppliers, maintaining contact lines. Supports accounting department; receiving payments, attestment and distribution of company check payments, and outgoing commercial invoices. Supports Human Resources department; handling the distribution and intake of SPPC 76 Circle K employment applications. Maintains safe and clean reception area by complying with procedures, rules and regulations. Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs. Contributes to team effort by accomplishing related results as needed and performing a variety of clerical duties, other activities and projects as assigned.
