POSITION DESCRIPTION: ADMINISTRATIVE ASSISTANT OFFICE OF THE COO- BILINGUAL
*Job Summary: *
The Administrative Assistant is responsible for assisting the Office of the COO with day-to-day operations, including welcoming guests and scheduling meetings and appointments, as needed. The entry-level position works closely with the Executive Assistant and The EVP and COO to ensure the office of the COO runs smoothly. The position will be responsible for hospitality and meeting room support as well as other duties.
Supports the executive suite as directed, including managing and ordering supplies, the setup of designated conference rooms, the A/V equipment of the office, etc;As directed, aids the efforts of the Office of the COO with special events, conferences, and meetings (both internal and external), including production and dissemination of agendas and materials such as PowerPoint presentations, coordination of room setups, catering, RSVPs of internal or external attendees, etc;Assists as needed in maintaining the flow of regular meetings with all direct reports to the COO, keeping track of agenda items, setting up agendas, recordkeeping, and coordinating the use of technology for meetings as appropriate.Assists with the finances of the COO's office, including submitting electronic check requests, reimbursements, etc.;Focus on COO communications including calls and email. Tracking of meetings and follow-up necessary.Management and maintenance of office equipment, including conference room systems and operational processes within the Office of the COO. Knowledge of computer systems preferred.Other duties as assigned.Ability to work onsite five days a week and occasionally on weekends.QUALIFICATIONS:
2-3 years of clerical, secretarial, or office experience.
Knowledge and Skill Requirement
High school diploma or general education degree (GED) required. Associate degree in business administration preferred.
Proficient computer skills, including Microsoft Office, strong technology skills and experience.Strong verbal and written communication skills.Bilingual in both spoken and written English and Spanish preferred.Comfortable with routinely shifting demands.High degree of attention to detail.Working knowledge of general office equipment.Ability to handle confidential information appropriately.Good judgment, creativity, and an enthusiastic attitude. Ability to take initiative and possess strong leadership qualities.Ability to establish and maintain effective interpersonal relationships and work effectively in a team.Possess a valid Motor Vehicle Operator's License.Occasional driving or local travel required.WORKING CONDITIONS:
Conditions typical of an office environment, including computer and telephonic equipment.Evening and weekend hours are rarely but occasionally required, as is the availability to represent the organization at conferences, conventions, and meetings, as appropriate and/or assigned.
