  Monday-Friday, 7am to 3:30pm

  PAY RATE

  Salary Range is $42,000 to $47,000 annually

  DESCRIPTION

  SUMMARY:Performs routine administrative duties as directed to support North Stations Treatment Staff. Must have excellent customer service skills. Must keep accurate and updated files and paperwork as assigned. Must become familiar with Water Works, Treatment and Laboratory processes and facilities. Must provide back-up assistance, as directed dependent upon Operational needs of the department. May assist in processing bi-weekly timecards using the current Kronos time system which includes reviewing employee timecards for accuracy, working with Supervisors to make any required corrections, printing and reviewing pre-check reports, sorting and distributing files and reports.

  ESSENTIAL DUTIES AND RESPONSIBILITIESThis list represents the types of duties required by the position. Other duties may be assigned as reasonably expected.

  Maintains accurate records and files, in the centrally located file room (daily, weekly, monthly and yearly for all represented Departments within).Handles incoming telephone calls and routes them to appropriate person/department.Distributes all incoming US mail, interoffice mail and handles outgoing mail.Assists with data entry into maintenance management software programs.Assists with data entry into operation management software programs.Records and maintains daily, weekly, monthly and yearly records/reports for the Water Treatment Plants.Maintains and updates related records as required.Must become familiar with acronyms for Water Treatment and Water QualityAssumes additional duties and responsibilities as assigned by Management.Responsible for the compiling of the Annual Report for the North Station.Responsible for billing and Invoice processing as well as PO requisitionsNON-ESSENTIAL DUTIES AND RESPONSIBILITIES:Assume additional responsibilities as directed or as delegated.

  EDUCATION AND/OR EXPERIENCE:

  High School Diploma, or equivalent.Minimum of five years of clerical experience and/or secretarial experience; knowledge of administrative and clerical procedures.KNOWLEDGE, SKILLS AND ABILITIES PREFERRED:

  Excellent customer service and City policy knowledge and skills.Knowledge of ordinances, rules and regulations regarding use of the public right-of-way.Familiarity with archiving Government documents.Knowledge of administrative and clerical procedures.Advanced Microsoft Office application skills, internet, e-mail and database management are a must.Ability to handle multiple tasks.Type accurately.Speak clearly.Ability to make sound decisions; problem solving skills.Ability to establish successful working relationships, ability to maintain orderly and accurate files, records and reports.Possess strong communicational skills both orally and in writing; ability to take efficient notes.Possess good time management and organizational skills and the ability to work independently with little supervision.Use accurate grammar and spell ng; write clearly and informatively.Excellent attention to detail.Effective utilization of teamwork.Knowledge of City or County Government processes.CERTIFICATES, LICENSES, REGISTRATIONS:Valid Drivers License required.

  EQUIPMENT:Desktop or laptop computer, multi-line telephone, printer, copier, fax machine, scanner and Laser Jet Printer.
