Job Summary
Provide highly skilled administrative support to assist administrators in achieving departmental goals. Responsible for coordination of daily office management, assists with budget preparation, budget monitoring, correspondence, personnel matters, purchasing, and complex level decisions while exercising initiative and independent judgment. Acts as a departmental liaison.
Essential Duties and Responsibilities
Assist in the creation of the annual office budget.
Review and monitor monthly expenditures.
Monitors office supplies, completes purchase requisitions for supplies and equipment, maintains inventory.
Processes documentation and paperwork for posting, screen applications and hiring candidates for vacant positions.
Completes staff travel authorizations, books airline flights and hotels, completes travel expense reports.
Reconciles monthly Procard statements of account and Maintenance and Operations statements of account.
Maintains confidential personnel files; updates compensation records in UT Share; maintains leave balances.
Schedules appointments and fields phone calls for Executive Director and completes routine correspondence.
Submits work orders for office repair and maintenance.
Performs other duties assigned.
Required Qualifications
High school diploma or equivalent with a minimum of four (4) years of experience providing secretarial or administrative support in increasingly demanding positions or equivalent relevant experience.
Preferred Qualifications
Bachelors’ degree in Communication, General Studies, or Business.
Experience with department budgets.
Experience processing basic financial transactions.
Experience with PeopleSoft.
Experience with University of Texas at Arlington policies and procedures.
Knowledge, Skills and Abilities
Ability to utilize Microsoft Office Suite.
Knowledge of standard office practices and procedures.
Ability to maintain accurate records.
Skilled in written and oral communication skills.
Ability to independently resolve routine and complex problems and make decisions.
Ability to draft, read and comprehend a variety of correspondence.
Ability to manage time effectively and prioritize work.
Skilled in preparing clear and concise reports, correspondence, and other written materials.
