Job Description:
Serve as confidential secretary to Associate Dean and Director of Alumni and Career Services. Prepare correspondence, draft reports, and file as needed. Prepare and send out mass mailings from large address lists. Schedule appointments using an electronic calendar. Coordinate meetings. Email, telephone, copy as needed. Arrange travel. Prepare and process travel reimbursement. Maintain records for Associate Dean.
Greet and route visitors. Serve as back-up for answering phones. Answer general questions, maintain workflow and office procedure documents.
Provide secretarial support for CALS Associate Dean related to Academic Assessment Data Reports and Academic Assessment Plans.
Provide secretarial support for the college’s VP Promise undergraduate experiential learning funding initiative. Maintain spreadsheet of applicant information, process travel authorizations and reimbursements, and communicate with applicants about their travel arrangements. Work closely with staff to ensure that correct funds are used for all travel expenses and reimbursements.
Prepare and process travel reimbursement for Associate Dean, Director, and other office staff and visitors as needed.
Provide assistance to the office personnel as needed for special events, mailings, etc. Assist with CALS-wide activities, events, and student organizations and accept other responsibilities that support CALS administration as needed.
Serve as Office Safety Coordinator
Expected Salary:
$15.85 - $16.76 hourly
Minimum Requirements:
High school diploma or equivalent and four years of relevant experience.
Preferred Qualifications:
Ability to deal with the public. Ability to communicate effectively, in both verbal and written form.
General knowledge of student admissions procedures, graduation procedures, and college policies.
Ability to use Microsoft Office software, especially Word and Excel. Ability to use the internet.
