Position Summary
We are currently in search of an administrative assistant to provide day-to-day support to the Director of Clinical Research within the Division of Digestive and Liver Diseases. The selected candidate will offer administrative assistance to the Director and other faculty members as delegated. Additionally, the role involves providing support in NIH grant preparation and management.
Responsibilities
Organize and maintain calendars, including scheduling appointments and meetings.Prepare agendas, meeting materials, and communications for appointments and meetings.Interact closely with internal and external constituencies at all levels.Create PowerPoint presentations when required.Coordinate travel arrangements, and assist in gathering receipts for reimbursements.Screen and monitor calls, and oversee and transmit internal and external communications.Draft correspondence for review by Director.Provide assistance with NIH grant preparation and management.Perform additional related duties as assigned.Minimum Qualifications
Bachelor's degree or equivalent in training, education, and/or experienceExcellent verbal and written communication skillsStrong interpersonal skills for effective engagement with all levels of stakeholdersAbility to handle confidential information with exceptional judgment, discretion, and diplomacyDemonstrated ability to work with minimal supervision, prioritize tasks, and handle multiple assignmentsDetail-oriented with outstanding organizational ability to manage diverse projects and a large volume of detailed work simultaneouslyExcellent computer skills, including MS OfficePreferred Qualifications
Related experience, including administrative rolesExperience in an institution of higher education or other large, complex organizationExperience with grant submission and management, particularly NIH styleOther Requirements
