JOB SUMMARYThe Administrative Assistant contributes to the mission of Plymouth Housing by performing a diverse set of administrative tasks, including but not limited to providing reception coverage, communicating responsively and providing administrative support to all levels of the organization while fostering an inclusive culture that celebrates diversity.This highly visible forward-facing position serves as a consummate professional, shows a willingness to help in all situations and will exercise discretion and independent judgement. The position is frequently involved with sensitive, confidential issues.This is a regular, full-time, benefitted position.ESSENTIAL JOB FUNCTIONS(Responsibilities, accountabilities, and competencies; may not include all duties of this job)Provides excellent reception support, and a welcoming and positive presence in all interactions.Maintain and adhere to Plymouth policies and procedures.Accountable for various administrative tasks including but not limited to processing mail, meeting support, arranging meeting or training locations, catering, set-up and break-down; ordering supplies, overseeing office furniture and equipment, making coffee, filling and emptying dishwasher, wiping down surfaces in common areas, including but not limited to, kitchens, washrooms and meeting rooms.Open / close the office according to a pre-approved business schedule.Provide project management support including providing project status updates, identifying barriers to progress, and helping to ensure projects are successfully completed.Maintain and assist with SharePoint, including document version control, records management and retention of current and archived records.Collaborate with other staff in all administrative functions; serve as back-up during absence.The role will provide support to leaders throughout Plymouth Housing, which includes but is not limited to scheduling, phone calls, written documents / reports, making copies and scanning.Perform other similar duties as assigned.ESSENTIAL JOB QUALIFICATIONSEducation: Associate degree or an equal combination of education and experience that provides the required knowledge, skills, and abilities to successfully perform the essential job functions.Experience: Minimum 2 years' experience performing administrative support.Knowledge, Skills, and Abilities:Committed to working toward diversity, equity, and inclusion in providing services to tenants and working with Plymouth staff. Ability to anticipate issues, prioritize workload and meet deadlines.Demonstrated proficiency with Microsoft Word, Excel, Outlook, Teams; and ability to learn and work well with customized databases and technology.Desired Qualifications:Bachelor's degree.Experience supporting multiple leaders.Experience working in a non-profit setting is desired but not required.Experience working or volunteering with a diverse, low-income, or special needs population.This is a full-time position with .
