About Administrative Assistant 3 - Pediatrics

  Description

  The UCLA Children's Discovery and Innovation Institute, as part of the Department of Pediatrics and the Mattel Children's Hospital at UCLA, will build on our children's research accomplishments and maximize collaborations among our pediatric physician scientists. The Institute will lead in our efforts to facilitate the creation of new knowledge about children's diseases, disseminating and putting this new knowledge into practice. This position serves the Department of Pediatrics and the Children's Discovery and Innovation Institute (CDI) as primary support for the Children's Discovery and Innovation Institute and will assist with grants management, intake, and pre-award functions for the Department.

  Major duties include, but are not limited to: coordination of administrative services for the Institute, coordination of various special events and meetings, assistance with the administration of training grants, preparation of proposals for submission, and other duties as assigned.

  Salary Range: $28.23 - $40.44 HourlyQualifications

  Required:a. Ability to organize workflow and set priorities under competing demands to ensure that the objectives of the office are met in a timely manner.

  b. Skill in setting priorities which accurately reflect the relative importance of job responsibilities.

  c. Skill in performing basic bookkeeping transactions such as debiting, crediting and reconciling expenses.

  d. Typing and transcription skills to prepare business, medical and scientific correspondence with speed and accuracy and ability to edit material for correct grammar, punctuation and spelling

  e. Advanced computer skills for internet research, email and knowledge of Microsoft Office software (Outlook, Word, Excel, PowerPoint).

  f. Ability to work under deadlines with heavy workload and constant interruptions and changing priorities.

  g. Skill in speaking clearly and distinctly in response to telephone inquiries.

  h. Strong independent analytical and problem solving abilities.

  i. Ability to supervise student workers including facilitate hiring and selection of candidate, work assignments and work review.

  j. Ability to speak to individuals on a one-to-one basis, using appropriate vocabulary and grammar to obtain information, explain policies.

  k. Interpersonal skills to establish and maintain cooperative working relationships with faculty, staff, patients, and patients' families

  l. Knowledge of word processing and spreadsheet software.

  m. Skill in writing concise, logical and grammatically correct letters, memos and reports.

  Preferred:a. Skill in developing office procedures which serve as the basis for smooth and continuous office operations.

  b. Ability to maintain confidentiality and to deal with sensitive situations in a tactful and discreet manner.

  c. Knowledge of BruinBuy, Travel Express, UCLA Systems.
