IF currently has 13+ facilities with 22+ micro-communities scattered across Orange County, Los Angeles County and the Inland Empire.
Job Description
The Administrative Assistant position is responsible for assisting the Illumination Foundation corporate team in all administrative tasks. You will work side by side with the CEO's Executive Assistant to complete all required responsibilities. This position is required to be onsite at our corporate office in Santa Ana from 8am - 5pm, Monday - Friday.
The pay range for this position is $22.00 - $25.00, depending on experience.
Responsibilities
Coordinate day-to-day operations run effectively in a fast paced corporate environment
Complete a broad variety of administrative tasks including managing an extremely active calendar of appointments and completing expense reports
Play a vital role in ensuring the smooth operation of our office
Managing and organizing documentation including contracts and invoices
Assist with the preparation and distribution of reports and presentations
Handling office supply management and food ordering/deliveries as needed
Coordinate projects and events as assigned.
Schedules executive conference rooms, maintains conference room & equipment
Project/Committee involvement as needed.
Compose and prepare correspondence that is sometimes confidential
Successfully complete critical aspects of deliverables with a hands- on approach, including drafting acknowledgement letters, personal correspondence, and other tasks effectively and timely.
Prioritize conflicting needs and handle matters expeditiously as needed.
High level collaboration with Executive Assistant to CEO
You may be asked to work occasionally during an evening for committee support or Saturday for community events.
Qualifications
Proven experience as an Administrative Assistant or similar role 3-5 yrs
Advanced knowledge in Microsoft Office Suite and Google Workspace
Strong organizational and time management skills
Excellent verbal and written communication skills
Ability to handle confidential and sensitive information with professionalism
Motivated and detail-oriented individual with a passion for administrative work
