Job Title: Administrative Assistant
Job Summary:
This Administrative Assistant supports the USCIS Director, Chief of Staff, and Office of Policy and Strategy (OP&S) by performing a range of administrative and operational tasks. This role is essential for managing communication, organizing documents, maintaining schedules, and ensuring the smooth operation of the Director's office.
Responsibilities Include:
Preparing reports, memos, letters, and other documents using Microsoft Office
Conducting research, compiling data, and preparing papers for consideration and presentation by executives, committees, and boards of directors
Answering telephone calls, directing calls to appropriate parties, or taking messages
Attending meetings to record minutes
Maintaining appointment schedules, planning, and scheduling meetings for the Senior Executive
Greeting visitors and notifying Government officials of arrivals for appointments
Collecting and compiling incoming memos, submissions, reports, and distributing as necessary
Performing general office duties such as copying, setting up conference calls, and scheduling meetings
Filing and retrieving corporate documents, records, and reports
Opening, sorting, and distributing incoming correspondence, including faxes and email
Making travel arrangements for executives. Providing administrative management operational support
Using Government-furnished equipment for continual updates, preparing, and processing travel management documents and systems
Briefing the Director, Chief of Staff, and senior counselors daily on upcoming events, meetings, and pertinent issues
Identifying the need for special projects
Working with the director in planning, organizing, and overseeing the activities of the office
Planning all aspects of research, scheduling, and travel coordination for the USCIS Director
Providing support to the Director's involvement in substantive outreach tactics projects
Required Qualifications and Skills:
High school diploma
2+ years of experience as an Administrative Assistant or similar role supporting senior level management
Proficiency in Microsoft Office
Experience in setting up conference room equipment, printers, and other office equipment
Work Setting and Environment:
Monday - Friday, normal working hours
Work is to be performed onsite in Camp Springs, MD
