Description
In support of the Executive Administrative Assistant, this role entails overseeing day-to-day administrative functions, including file maintenance, data entry, and coordination of meetings and events. The incumbent must possess the capability to handle highly confidential information with the utmost discretion.
Primary Responsibilities:
• Answering phones, addressing employee and client queries, managing mail distribution, overseeing shipping services, ordering and replenishing snacks, handling copiers, and restocking office supplies.
• Acting as a liaison with building management, overseeing parking passes and access cards, and reserving meeting rooms as necessary.
• Managing calendars, scheduling meetings, preparing agendas, coordinating facilities, and arranging food and refreshments for meetings.
• Providing administrative support to the Chief Compliance Officer, Director of Operations, and Executive Administrative Assistant by maintaining records, submitting information online, and managing calendars.
• Organizing and maintaining files of correspondence, records, and related materials on SharePoint.
• Conducting data entry into Deltek, our timekeeping and expense reporting system.
• Assisting with communication, including reviewing and formatting written correspondence and assembling presentations for staff meetings.
• Aiding in expense report processing.
• Handling state registration and local business licenses, including registration, tracking, and submitting payments.
Requirements
Requirements:
• Bachelor’s degree or equivalent experience.
• Demonstrated tact, ability to handle sensitive and confidential information discreetly, and maintain a high level of professionalism.
• Strong proficiency in MS Office (Outlook, Word, Excel, PowerPoint).
• Solid oral and written communication skills, including the ability to draft well-written correspondence.
• Ability to independently and effectively manage one's own performance.
