About Administrative Assistant

  MOVE Staffing is looking to hire for a great Administrative Assistant position! In this role, you are in charge of handling the small details to keep them moving toward achieving growth. You will organize and update files, enter and update information in their Zoho CRM, Survey, Campaigns, and Books, schedule meetings and complete notes, support client projects, and create presentations and sales materials such as flyers. The ideal candidate is tech-savvy, detail-oriented, able to communicate through multiple channels, and super organized.

  Key Duties

  Make phone calls or send emails to schedule and coordinate meetings, follow up on information or projects, and finalize travelManage communication and answer emails; project-relatedlated emails and project-relatedlated phone callsPrepare and organize databases and reports, especially within Zoho CRM and BooksEnter new accounts and invoices into Zoho CRM and BooksManage social media accounts, post on social media, and respond to postsHandles customer and employer information confidentiallyTake notes or transcribe meetings conducted online and share minutes of meetingArrange payments for vendors, travel, and sales expensesCreate purchase and sales orders, purchase orders, invoices, and track and manage payments and expensesManage filing systems, update records, and organize documentationPrepare and create PowerPoint presentations and materials as neededOnline research for materials and sources for presentationsProvide project related support including client contacts, meeting scheduling, note-taking, research, tracking of deliverables, and presentation preparationConduct research to compile and organize materials and sources for presentations, sales calls, etcEmail Management - organize correspondence and respond to emails; draft, send, and prepare emailsData Management - Manage filing systems, update records, complete data entry, and organizedocumentation especially in Zoho CRMAdminister and track DISC assessmentsCoordinate training workshops with trainers, complete paperwork, and registerparticipants if needed but this is rareAssist with month-end financial reportsPost journal entriesHelp with accounts receivable, payable, and bank statement reconciliationAssist with auditsReconcile balance sheet accountsCollaborate with the finance team on yearly forecasting effortsManage monthly tracking of physical inventorySupport the payment processing teamPerform credit checksAssist with data entryJob Qualifications

  High school graduate or aboveProficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel)Experience with Zoho or other CRM tools a plusWell-versed with technology especially MS OfficeHighly organize detail-oriented multi-tasker and ability to work on multiple projectsDemonstrates excellent time management skillsAble to balance and prioritize multiple projects and meet deadlinesSelf-directed and able to work without supervisionExcellent verbal and written communication skillsStrong customer service and presentation skillsMarketing and remote work experience a plusIf interested, please send your resume to [email protected] or call us with any questions at (740) 439-MOVE(6683).
