  Description

  Robert Half is looking for a detail oriented professional with a Customer Service background for a temporary Administrative Assistant! The Sales/Contract Administrator plays a vital role in ensuring the delivery of exceptional service to contract customers. This position involves extensive interaction with customers via phone and email to manage various aspects of the sales process, including order releases, deliveries, quoting, order entry, and customer communication. The Sales/Contract Administrator serves as the primary point of contact for customers regarding open orders and strives to provide the highest level of customer satisfaction. This position is temporary coverage while an employee is on maternity leave, but the client is open to transitioning the person filling this role to a different position on the team if they find a stellar candidate!

  Utilize ERP System: Efficiently enter and release orders using the company's ERP system.

  Sales Inquiries and Order Handling: Address sales inquiries, process orders, manage deliveries, and maintain clear communication with customers.

  Customer Database Management: Update and manage customer databases or portals as needed.

  Pricing: Determine prices for stock inventory items and custom-cut parts accurately.

  Order Information Entry: Enter quote and order information into the computer system with precision.

  Sourcing: Source non-stock (buyout) items to fulfill customer requirements effectively.

  Customer Communication: Maintain regular communication with customers throughout the order fulfillment process, providing updates and addressing concerns.

  Order Expedite and Trace: Expedite and trace customer orders to ensure timely delivery.

  Customer Relationship Management: Cultivate and maintain positive relationships with established customers.

  Collaboration: Collaborate with management and other team members to enhance customer satisfaction and promote additional sales opportunities.

  Requirements

  Previous customer service or admin support experience is required.

  Must be very familiar with Excel.

  Problem Solving: Ability to identify and resolve problems efficiently, analyze information, develop alternative solutions, and work well in group problem-solving situations.

  Technical Skills: Self-assessment of strengths and weaknesses, a willingness to pursue training and development opportunities, and a commitment to continuously build knowledge and skills. Sharing expertise with others is encouraged.

  Customer Service: Proficiency in managing difficult or emotional customer situations, responding promptly to customer needs, soliciting customer feedback for service improvement, and meeting service commitments.

  Oral Communication: Strong verbal communication skills, with the ability to speak clearly and persuasively in positive or negative situations, actively listen, and respond effectively to questions.

  Written Communication: Clear and informative writing skills, with the ability to edit work for spelling and grammar, adapt writing style to meet different needs, and effectively present numerical data. Strong reading and interpretation skills are essential.

  Quality Management: A commitment to seeking ways to improve and promote quality in all aspects of the role.

  Quantity: Consistently meeting productivity standards, completing work in a timely manner, and striving to increase productivity.

  Attendance/Punctuality: Maintaining consistent and punctual attendance, ensuring work responsibilities are covered when absent, and arriving on time for meetings and appointments.

  Dependability: Following instructions, responding to management direction, and taking responsibility for one's actions.

  Computer Skills: Proficiency in MS Word, Excel, and Internet Explorer.
