Idaho Commission for Libraries (ICfL)
Administrative Assistant 1 – E-Services (30 hours/week- full benefits)

Purpose Description : This position exists to provide quality clerical support to the E-Services team, agency personnel, and programs consistent with ICfL’s mission, vision, and values.
Job Responsibilities:
Provide specialized program support (80%)
E-Services:
E-Rate Tracking/Outreach
Internet Use Policy Tracking
Shopping Carts
LiLI/IDEA Tracking
Affordable Connectivity Program
Digital Navigator/Access Programs
Fiscal Team:
Assist Fiscal Team with projects as requested.
Assist Buyer with purchasing office supplies and testing fiscal processes.
Public Library Consultant:
Provide program/project support as requested.
Customers will receive excellent clerical support (20%) Act as meeting facilitator, recorder, or leader as requested.
Gather, compile, and distribute information necessary to implement and/or support the work of the E-Services team and agency, including one-time projects and ongoing programs.
Conduct data entry and more complex computer operations.
Produce and maintain documents as needed including letters, reports, and spreadsheets.
Maintain and utilize a high level of software expertise.
Cross train with other staff to learn new procedures.
Attend and utilize training in subject matter relevant to ICfL and programs.
Participate as a team member on ICfL teams/committees.
Attend outreach functions to promote services or support programs.
Perform other general clerical duties as necessary or requested.
Coordinate logistics and arrangements for meetings and trainings, including travel arrangements for staff and other participants.
Arrange for and purchase good and services for projects/programs; maintain service and supplies; recommend purchase needs of specialized equipment.
Inventory, package, and ship program materials.
Provide backup for answering phone and door.
Provide backup for filling Youth Services online orders.
Minimum Qualifications:
Good knowledge of:
Office support functions including word processing, filing, composing a variety of business documents and reception; This qualification is met by at least one year of work experience performing the duties described above OR an associate's degree in office administration/administrative services.
Gathering and compiling data; This qualification is met by at least one year of work experience gathering and compiling data for reports or documents to be reviewed or provided to others.
Balancing and coordinating a workload for multiple projects.This qualification is met by at least one year of work experience balancing and coordinating a workload for multiple projects. This experience should include prioritizing deadlines, organizing tasks and working with frequent interruptions or distractions.
Experience:
One year or more experience using spreadsheet software.
Using Microsoft Office.This qualification is met by successful completion of training in the use of Microsoft Office programs, including, Outlook, Word, PowerPoint, and Excel; OR at least six (6) months of full-time work experience using these programs as a frequent part of the job.
Interpreting, applying, and explaining complex information. This qualification is met by at least six (6) months of full-time work experience analyzing, interpreting, and explaining complex information or documents; OR successful completion of college level coursework/training that required analyzing, interpreting, and explaining complex information or documents.
